You are the first point of contact and the heartbeat of the workplace, delivering a seamless and welcoming experience for employees, visitors, and partners. This role blends front-of-house excellence with hands-on facilities and soft services coordination, giving you real ownership of how the office operates day to day. You’ll work closely with building management, vendors, and internal teams to ensure the workplace is safe, efficient, and professional at all times. What You’ll Do
Deliver an outstanding internal and external visitor experience, ensuring all interactions are professional, friendly, and efficient.
Act as the key liaison with building management, security teams, and reception to support smooth daily operations.
Provide onsite support for security-related activities, including ID badges and access card management.
Oversee soft services vendors (cleaning, internal window cleaning, plants, fire safety equipment, document destruction) and coordinate with maintenance providers.
Conduct regular building walks to identify maintenance or safety issues, record findings, and follow up on actions.
Manage quotes, client approvals, and raise purchase orders for above-baseline services through JLL and SAP systems.
Support workplace operations including internal moves, space changes, small maintenance projects, and event setup.
Manage mailroom operations, deliveries, supplies, and resolve day-to-day facility requests via the ticketing system.
What We’re Looking For

Excellent communication skills and confidence engaging with employees, visitors, and external vendors.
Ability to manage multiple priorities while maintaining attention to detail.
Comfortable working with internal systems, databases, and ticketing tools.

Flexible and adaptable to changing workplace needs and ad-hoc requests.
Positive, solution-focused attitude with a strong sense of ownership.
Fluent Romanian and good English language skills
