We are looking for a Receptionist to join our Integrated Facilities Management business line. This role supports the client’s workplace and technical environment by coordinating daily facility operations and assisting with local projects.

This is a part time - 75% FTE - 30 hours of work per week role.

You will work closely with the Facility Manager and Facility Coordinator to ensure smooth office operations and a high-quality employee experience.
The position involves administration, reporting, vendor coordination, and on-site supervision of office areas. You will also support office fit-out initiatives, workstation management, and onboarding activities. Accuracy, responsiveness, and strong communication are essential to succeed in this role.

The Receptionist acts as a key point of contact for internal stakeholders and service providers. This is a hands-on, office-based role in a fast-paced, professional environment.


Key Responsibilities

Support local facility-related projects, including office fit-outs and minor workplace improvementsCoordinate and supervise daily facility operations and regular office area inspectionsManage workstation data, availability tracking, office usage reports, and related analysisMaintain and continuously update the Building Guide and coordinate communications with the local communications teamOversee internal signage updates and meeting room registration and administrationSupport onboarding and offboarding activities, including facility presentations and documentation via DocuSignOrder office assets and supplies, manage business card requests, and support expense-related purchasingCoordinate with vendors, couriers, and postal services to ensure timely and quality service deliverySupport ticket management, issue reporting, and escalation to relevant teamsWork with Building Operations to report health & safety issues and coordinate corrective actionsAssist the Facility Manager/Coordinator with financial systems, SAP support, and internal monthly reportingParticipate in emergency response activities and handle ad-hoc office and facility-related tasks


Requirements

Strong communication skills with a customer-focused mindsetFluent Hungarian and communicative English language skillsAbility to manage multiple requests in a fast-paced office environmentStrong organizational skills with attention to detail and accuracyProactive, solution-oriented approach with high personal accountabilityAbility to remain calm, polite, and professional in all situationsSolid IT literacy and confidence using workplace systems and toolsEmpathetic, responsive, and service-driven attitudeAbility to work collaboratively with internal teams and external vendorsWillingness to support both routine operations and project-based activities
