Key Responsibilities 

Customer Service 

Greet, assist and direct candidates, new hires, visitors, and the general public 

Handle telephone, email, and other queries professionally 

Administer parking spaces for visitors and employees 

Arrange taxis for client staff and visitors as requested 

Book onsite meeting rooms and organize hospitality according to site procedures 

Register and distribute documents per local procedures 

Coordinate local events and travel arrangements as required 

Perform additional administrative tasks as needed 

  

HSE, Security & Quality 

Liaise with site managing agent and security personnel 

Maintain high level of security awareness and knowledge of emergency procedures 

Issue ID and access badges for new hires/vendors/visitors and maintain accurate records 

Monitor and maintain office and badge consumables within agreed stock levels 

Maintain security sign-in protocols 

Conduct site inductions for new starters and provide first-line support for concerns 

Actively support JLL's Quality Management program 

 
Site Operations 

Conduct daily meeting room and office checks 

Prepare and serve refreshments, manage catering setup and clearance 

Manage all Facilities helpdesk requests and liaise with service providers 

Handle incoming and outgoing mail according to established procedures 

Assist in coordinating repairs and maintenance of office equipment 

Manage office supplies ordering process 

Maintain accurate and updated seating plans 

Ensure detailed handover for responsibilities during absences

Job Description 

What the job involves 

Cover Front of House and Reception services with our Client’s office. 

Welcome Meet and greet for all visitors and clients    

Assist with internal/External bookings as required with full meeting room accountability. 

Ensuring that all meeting rooms, services, VC, facilities, and public areas are set and maintained to the expected standards. 

Ownership and ability to facilitate room set-ups – including moving flexible furniture 

Be aware of room status in client rooms at all times & support internal rooms appropriately, ensuring the room is ready prior to the next booking 

Provide/report information on the available facilities, arranging viewings and accompanying clients on tours of the facilities as and when required 

Maintain a strong awareness of business activity & communicate all updates with regional team members. 

  

Skills & Experience 

Experience working within a Corporate or Hotel Reception environment 

Independent and self-managing worker 

Strong customer service skills- a great networker! 

Professional/confident telephone manner and excellent oral & written communication skills, good computer literacy. 

Ability to use initiative and remain calm under pressure. 

A strong team player with the ability to multitask & prioritise work commitments. 

Flexible approach to departmental requirements. 

Good educational background & a solid command of written & spoken English and Polish
