We are looking for a professional, courteous, and detail-oriented Receptionist to join our dynamic team. This role is essential to ensuring the smooth operation of our office by providing outstanding client service and reliable administrative support.
Responsibilities:
Welcome clients and visitors, assisting with navigation around the office and guiding candidates to interviews.Notify relevant personnel of arriving guests.Maintain workplace security by issuing, checking, and collecting visitor badges, and keeping an accurate visitor log.Personally deliver new employee badges and access credentials, ensuring all required documentation is completed and filed.Ensure all visitors sign necessary forms, including badge issuance and safety protocols.Keep updated records of active and former employees’ badges and home addresses for document or package dispatch.Update monthly lists of terminated employees and verify the return and condition of company equipment.Support various administrative tasks such as photocopying, note-taking, and travel arrangements.Prepare meeting and training rooms, ensuring cleanliness and availability of refreshments and materials.Answer and direct incoming phone calls to appropriate departments.Coordinate confidential package deliveries with employees in other locations.Report facility or IT issues and assist with ad-hoc administrative tasks.Sort and distribute incoming mail.Schedule appointments as needed.Manage package deliveries and maintain strong relationships with courier services.Ensure compliance with Polish labor protection laws by maintaining signed documentation.Keep notice boards updated with relevant information.Translate documents for the marketing team and distribute communications to employees.Collect and file receipts for important document deliveries.Maintain facility-related documents and service invoices.Collaborate with teams to compile supply lists for office and coffee room needs.Skills & Qualifications:
Proven experience in receptionist, administrative, or client support roles.Proficient in English (minimum B2-C1 level) and native-level proficiency in Polish.Additional proficiency in another European language is an advantage.Strong knowledge of MS Office applications.Exceptional customer service and communication skills.Excellent time management and adaptability in a fast-paced, dynamic environment.If you're a detail-driven professional with a passion for client service and administrative excellence, we’d love to hear from you.
