Description We are looking for a receptionist to join our team on a contract basis in Kapolei, Hawaii. This role is ideal for someone who thrives in a detail-oriented environment, enjoys interacting with people, and has strong organizational skills. Responsibilities: • Welcome visitors warmly and courteously, fostering a positive first impression. • Assist homeowners with inquiries related to community rules, dues, and processes, delivering clear and helpful guidance. • Manage incoming and outgoing mail, including payments and correspondence, ensuring timely and accurate handling. • Prepare and distribute notices for meetings, maintenance schedules, and policy updates. • Schedule and coordinate appointments for management and the Board of Directors, maintaining an organized calendar. • Order and manage office supplies, ensuring availability and proper inventory levels. • Support event logistics, including meeting setup and agenda preparation. • Provide information and documentation to homeowners to support compliance with community policies. • Maintain confidentiality of sensitive information related to the organization and its members. • Operate a multi-line phone system efficiently, answering inbound calls and directing them appropriately. Requirements • Proven experience in receptionist duties, including handling multi-line phone systems. • Familiarity with scheduling and coordinating appointments. • Strong customer service skills with the ability to assist diverse groups professionally. • Proficiency in managing back-office tasks and administrative support. • Excellent organizational skills and attention to detail. • Ability to handle sensitive information with discretion and confidentiality. • Knowledge of basic office equipment and supply management. • Effective communication skills, both verbal and written.
