Description
An established insurance company in Shelton, Connecticut, is looking for a professional and personable Receptionist to be the first point of contact for clients and visitors. The ideal candidate will demonstrate excellent organizational skills, a friendly demeanor, and the ability to manage front desk operations effectively while ensuring the office runs smoothly.
Key Responsibilities:
+ Front Desk Operations:
+ Greet and assist visitors, clients, and staff with professionalism and courtesy.
+ Manage incoming phone calls, direct inquiries to the appropriate departments, and take detailed messages when needed.
+ Administrative Support:
+ Handle incoming and outgoing mail, including sorting, distributing, and organizing correspondence.
+ Assist with scheduling appointments and maintaining the office calendar.
+ Monitor and order office supplies to ensure front desk and administrative functions are seamless.
+ Client Interaction:
+ Act as the first point of contact for customers and clients, providing support, direction, and answers to general inquiries about company services.
+ Ensure a positive customer experience and maintain confidentiality and empathy during interactions.
+ Recordkeeping and Coordination:
+ Maintain reception area and conference room cleanliness and readiness.
+ Prepare and update contact sheets, directories, and visitor logs as needed.
Requirements
Qualifications and Skills Required:
+ Education:
+ High school diploma or equivalent is required; an associate degree is a plus.
+ Experience:
+ 1–2 years of experience in a receptionist, administrative assistant, or customer service role is preferred.
+ Technical Skills:
+ Proficient in Microsoft Office Suite (Word, Excel, Outlook).
+ Knowledge of insurance software or systems (such as Salesforce or Workday) is a plus.
+ Communication and Interpersonal Skills:
+ Excellent verbal and written communication skills, including professionalism when interacting with clients and colleagues.
+ Strong customer service skills with a positive attitude and ability to remain calm under pressure.
+ Organizational Skills:
+ Exceptional attention to detail, ability to multitask, and maintain efficient workflows.
