Description We are looking for a dedicated Receptionist to join our team on a long-term contract basis in Auburn, Washington. In this role, you will serve as the first point of contact for visitors and callers, ensuring smooth communication and delivering exceptional customer service. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently, contributing to the overall success of daily operations.
Responsibilities:
• Answer and direct incoming calls using a multi-line phone system, ensuring accurate message-taking and routing.
• Greet visitors warmly, assist with inquiries, and ensure they are directed to the appropriate personnel or office.
• Maintain the reception area in a clean, organized, and presentable manner at all times.
• Handle correspondence, including sorting mail, managing faxes, and organizing email communications.
• Provide administrative support such as scheduling appointments, data entry, and coordinating travel arrangements.
• Assist with various clerical tasks, including photocopying, scanning, and document preparation.
• Utilize Microsoft Office Suite and other software to complete daily tasks efficiently.
• Demonstrate excellent customer service skills by addressing inquiries and resolving issues promptly.
• Collaborate effectively with team members at the manufacturing facility.
• Take initiative and work independently while maintaining professionalism in all interactions. Requirements
• Proven experience as a receptionist or in a similar administrative role.
• Proficiency in handling multi-line phone systems and managing inbound calls.
• Strong organizational skills with the ability to prioritize tasks effectively.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Ability to perform data entry tasks with accuracy and attention to detail.
• Friendly and detail-oriented demeanor with exceptional customer service abilities.
• Confidence in taking initiative and working independently without direct supervision.
• Spanish-speaking skills are not mandatory but preferred to help support communication with Spanish-speaking clients or team members
