Receptionist

Position Summary:

We are seeking a professional and detail-oriented Part-Time Receptionist to support front desk operations in a high-traffic commercial environment. This role serves as the first point of contact for tenants, visitors, and vendors, and plays a key role in coordinating service requests and facility communications using the Planon CMMS platform. The ideal candidate is organized, tech-savvy, and thrives in a fast-paced setting.

Pay:  $23.00 per hour
The pay listed is the hourly range or the hourly rate for this position.   A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.

Shift: Monday through Friday 2pm-6pm

Key Responsibilities:

Front Desk Operations

Greet and assist tenants, guests, and vendors with professionalism and courtesy. Manage incoming calls, emails, and visitor logs. Maintain a clean, organized, and welcoming reception area.

CMMS Coordination (Planon)

Enter and track service requests, work orders, and maintenance activities in Planon. Monitor request status and follow up with technicians and vendors as needed. Generate reports and assist with data entry and system updates.

Administrative Support

Schedule meetings, reserve conference rooms, and coordinate facility access. Assist with mail distribution, deliveries, and office supplies inventory. Support building communications and tenant notifications.

Security & Compliance

Enforce visitor sign-in procedures and badge issuance. Report suspicious activity or safety concerns to building management. Ensure compliance with building policies and emergency protocols.

Qualifications:

Education & Experience

High school diploma or GED required; associate degree or administrative certification preferred. 2+ years of experience in reception, customer service, or facilities support in a commercial setting.

Skills & Competencies

Proficiency with Planon CMMS or similar facility management software. Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Professional demeanor and customer-focused attitude. Familiarity with Microsoft Office Suite and basic office equipment.
