Receives client families and visitors at the front desk by greeting, welcoming, directing and announcing them courteously and appropriately. Answers, screens, and routes incoming phone calls plus other general office support duties.

JOB RESPONSIBILITIES

Required Skills and Responsibilities:

Responds promptly to external and internal requests demonstrating courtesy, sensitivity and empathy

Professional telephone etiquette and appearance

Ability to prioritize multiple tasks and work with continuous interruptions to meet daily deadlines and respond in a positive manner

Attention to detail is essential

Required hours are Monday through Friday (8:30am – 5:00 pm) with overtime as necessary to complete tasks. The rare weekend or evening may be required as well.

Daily duties include but are not limited to: front desk reception and administration; design desk relief and assistance

Adhere to all government and corporate regulations regarding confidentiality

The successful candidate will have office computer skills with the ability to learn new software such as InDesign and Photoshop. The candidate will be well organized with an aptitude towards strong problem solving abilities.

This position requires an individual who is able to remain calm in a fast paced atmosphere, attentive, and adaptable.

They will understand the importance of going “above and beyond” to serve our families and colleagues.

Examples of Work:

Greets guests and visitors, offering assistance when entering the building

Notifies staff members when appointments arrive and escorts guests to appropriate room

Answers routine questions associated with services, products, location directions, etc.

Immediately notifies and involves management with customer service and security issues

Answers, screens, and routes incoming calls to appropriate staff members 

Maintains a comfortable environment for clients, providing beverages and other amenities for families as needed.  May make coffee. 

Receives incoming mail and packages 

Maintains organized and current electronic and paper files and records

MINIMUM REQUIREMENTS

Education

High School Diploma or equivalent

Experience

Six months general office, receptionist, or administrative support experience preferred

Knowledge, Skills and Abilities

Working knowledge of MS Office Suite

Clear and professional speaking voice and tone

Professional interpersonal skills to handle sensitive and confidential situations

Position continually requires demonstrated poise, tact and diplomacy

Ability to work schedule including Saturday and or Sunday and beyond standard business hours
