Being at the heart of the business
Maintaining and updating records and database are also part of your basic daily routine. These include telephone registers, call tracking and client contacts. Much of your time will also be spent on general admin activities and other help desk tasks. Working at JLL, you should constantly keep in mind that you are working in compliance with our regulations.
Other responsibilities you will take care of include contributing to the monthly management report for the client and participating in emergency evacuation procedures. On top of these, you’ll be expected to develop policies and procedures needed for all functions in the reception. As needed, you’ll also take part in managing conference rooms, events, flower arrangement coordination, and others.
We are seeking a friendly and professional Receptionist to manage the front desk of our organization. The successful candidate will be responsible for greeting clients, answering phone calls, and performing various administrative tasks.
Key Responsibilities:
1. Greet clients and visitors: Welcome clients and visitors, and ensure they are directed to the correct person or department.
2. Answer phone calls: Answer phone calls, take messages, and direct calls to the relevant person or department.
3. Manage mail and packages: Receive and distribute mail and packages and ensure that outgoing mail is properly sent.
4. Perform administrative tasks: Perform various administrative tasks, such as data entry, filing, and photocopying.
5. Booking on the meeting rooms following with customer request
6. Maintain reception area: Ensure the reception area is clean, organized, and welcoming.
7. Generate WIFI user ID & Password to customer employees, visitors, contractors and interns upon request.
8. Data entry onto NEA portal for Industrial Hazardous Waste – e-tracking
9. Creating daily work orders from Corrigo system
10. Issuing gym access passes to approved list of stakeholders
Requirements:
1. Excellent communication skills: Strong verbal and written communication skills.
2. Friendly and professional demeanor: Ability to provide excellent customer service and maintain a professional atmosphere.
3. Organizational skills: Ability to prioritize tasks, manage multiple responsibilities, and maintain a high level of productivity.
4. Technical skills: Proficiency in Microsoft Office and other relevant software applications.
