Description Serve as the first point of contact for clients, customers, and visitors, providing a friendly and detail oriented welcome. Manage a multi-line phone system by answering, screening, and directing calls promptly and accurately. Schedule appointments and meetings, maintaining an organized calendar for staff or office use. Greet and assist customers or visitors, directing them to the appropriate personnel or department. Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution. Maintain a clean, organized, and detail oriented reception area and lobby. Provide general administrative support, such as filing, data entry, and handling correspondence, as required. Assist with office supply inventory management, placing orders when necessary to maintain stock levels. Respond to inquiries regarding the company, its products, or services, offering accurate information and assistance. Coordinate with internal departments to ensure efficient communication and workflow. Follow company protocols and maintain confidentiality regarding sensitive company and customer information. Uphold a positive and detail oriented demeanor in all interactions to promote a welcoming environment. Requirements High school diploma or equivalent required; associate degree or related certification is a plus. Proven work experience as a receptionist, front desk representative, or similar role preferred. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment. Excellent verbal and written communication skills with a detail oriented demeanor. Strong multitasking, time-management, and organizational abilities to handle a fast-paced environment. Demonstrated ability to provide exceptional customer service and handle inquiries with patience and professionalism. Flexibility to adapt to changing responsibilities and prioritize tasks effectively. Positive attitude and friendly demeanor when interacting with clients, team members, and visitors. Ability to handle sensitive information with discretion and maintain confidentiality.
