Receptionist
Description We are looking for a detail-oriented and organized Receptionist to join our team in Chicago, Illinois. As the first point of contact for visitors and callers, you will play a vital role in ensuring smooth daily operations. This is a long-term contract position, ideal for individuals who thrive in a dynamic, non-profit environment. After training, the schedule for this role is Monday - Friday 11AM - 7PM. Responsibilities: • Welcome visitors and provide assistance with inquiries in a courteous and attentive manner. • Answer and manage a multi-line phone system, directing calls to the appropriate staff or departments. • Oversee inventory management by coordinating with logistics personnel, ensuring supplies are stocked and available. • Handle mailing tasks, including preparing outgoing mail and managing incoming packages. • Coordinate conference room scheduling and ensure meeting spaces are properly set up. • Support evening classes by greeting attendees and providing necessary information. • Maintain office equipment such as printers and fax machines, troubleshooting minor issues as needed. • Perform data entry tasks and manage email correspondence promptly and accurately. • Organize and maintain office files and records, ensuring accessibility when needed. • Lift and carry items weighing up to 30 pounds, as required. Requirements • Proven experience in operating a multi-line phone system. • Strong customer service skills with a friendly and approachable demeanor. • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. • Excellent organizational and time-management abilities. • Competence in handling email correspondence and data entry with accuracy. • Strong interpersonal skills to interact effectively with a diverse group of people. • Ability to organize and maintain files systematically. • Physical capability to lift and move items weighing 25-30 pounds. • Spanish bilingual skillset is a "nice to have"!
