Real Estate Specialist
Job Title: Real Estate SpecialistJob Description

The Real Estate Specialist plays a critical role in supporting the Real Estate team by managing lease expirations, transaction documentation, reporting, and portfolio support activities. This position ensures accurate documentation, supports negotiations and renewals, prepares standardized deliverables, and maintains portfolio data integrity. The Real Estate Specialist collaborates with various departments, including Finance, Legal, Planning & Design, Site Operations, as well as external landlords and brokers.

ResponsibilitiesDraft and revise lease proposals, letters of intent, and related documentation.Update and maintain property summary sheets and standardized portfolio documentation.Track key lease dates, including renewals, expirations, options, and escalations.Coordinate with landlords and brokers on routine matters.Support negotiations by compiling financial comparisons and market data.Prepare PowerPoint presentations and internal reporting materials.Maintain the Real Estate database and shared files.Assist with due diligence and document organization for acquisitions or dispositions.Essential Skills3–5 years of experience in commercial real estate, lease administration, property management, or corporate real estate.Strong written and verbal communication skills.Ability to manage multiple transactions and deadlines simultaneously.Strong attention to detail and document accuracy.Financial literacy and ability to understand lease economics and compare financial terms.Ability to operate in a structured, process-driven environment.Professional maturity when interacting with landlords and internal stakeholders.Additional Skills & QualificationsBachelor’s degree required (Business, Real Estate, Finance, or related field preferred).Experience reviewing lease documents preferred.Healthcare or institutional real estate experience is a plus.Intermediate to advanced knowledge of Microsoft Excel.Proficiency in Microsoft PowerPoint and Microsoft Word (document redlining and formatting).Experience with CoStar and lease administration databases or contract management systems preferred.Strong document drafting/editing capability.Ability to work independently with minimal supervision.Experience preparing approval memos or executive summaries is nice to have.Exposure to budgeting or financial forecasting is advantageous.Experience working in a matrixed or institutional environment is beneficial.Work Environment

The position operates in a standard office environment with business hours from Monday to Friday, 8:00 am to 5:00 pm. The role offers a 6-month initial term, with a strong possibility of extension and potential conversion to a permanent position based on performance and business needs.

This is a Contract position based out of Menlo Park, CA.

Pay and Benefits

The pay range for this position is $33.02 - $55.00/hr.
