The position will have dual functions to assist the Parts Department and the Service Department. The Parts & Purchasing Manager will manage the position primarily. In contrast, the Service Manager and/or the BEC Aftermarket Director will manage in the absence of the Parts Manager (or secondarily, as work and duties dictate). The following duties will constitute daily responsibilities along with special projects as defined by the Parts & Purchasing Manager or the Aftermarket Director as time dictates. Responsibilities: ? All aspects of the Purchasing function within the Sage 100 system (Vendor Maintenance, Inventory Item Maintenance, Vendor Contact Maintenance, etc.) ? A primary buyer for aftermarket, sales, engineering/fabrication, and service Departments at BEC. ? Purchase Order data entry and submittals. ? Investigate, research, and source part numbers and service items for the aftermarket, sales, and engineering/fabrication departments. ? Identify manuals, drawings, and specifications for customer’s equipment. Manager and distribute this information accordingly to the appropriate Company Drive folders: o Compressor Manuals/Drawings o Customer Files ? Identify and prepare reports for out-of-stock or low-quantity items. Analyze and gauge non-moving or obsolete inventory items to ensure timely turnover rates and keep inventory costs low. ? We make daily, routine follow-up calls and correspondence with vendors to ensure timely deliveries and maintain the updated status of open orders. ? Run and evaluate the Open Purchase Order Report (at minimum once or twice per week) for all open purchase orders. ? Assist the Parts & Purchasing Manager with all incoming customer calls and customer service issues. ? Correspond with the end user requestor regularly regarding order status. ? Prepare, manage, and facilitate the return of goods (RMA returns). ? Stockroom audits - Count material, equipment, merchandise, or supplies in stock and reconcile to the Sage 100 inventory system by comparing open orders, purchase orders, and on-hand quantities. Question the validity of discrepancies when identified. ? Assisted in all aspects of inventory management, including bi-annual inventory and auditing. ? Work with the Sales Coordinator on maintaining equipment inventory lists. ? Process Inventory Requisitions. ? Inventory Counting procedures (Bi-annually) Shared Responsibilities with the Parts Coordinator and Shipping/Receiving: ? All aspects of the shipping and receiving function within our system – MAS90 expertise and knowledge will be necessary to accomplish these duties ? Inspect all incoming deliveries for damage and accuracy ? Distribute incoming deliveries in a timely and orderly fashion ? Package and ship Service/Sales Orders as necessary daily. Knowledge of all courier systems will be demanded (UPS WorldShip, freightquote.com, miscellaneous LTL Courier websites, etc.) Required Qualifications: • Associate or bachelor’s degree in business, administration, operations, supply chain, or similar preferred. Purchasing, procurement, supply chain, or inventory management certifications are considered. • Minimum 3 years of advanced knowledge of compressed air systems and related parts. • MAS90/SAGE 100 experience (A/R, A/P, PO, SO, Inventory, PY, and GL) • Proficient in Microsoft Office, including Word, Outlook, Excel, and PowerPoint. • Advanced level in Excel, VLOOKUP, HLOOKUP, and XLOOKUP, with the ability to present data efficiently with PivotTables and charts. • Minimum 3 years of experience with inventory processes and procedures, accounting issues about parts, and best practices for inventory maintenance. • Ability to work on multiple projects simultaneously while maintaining accuracy and meeting deadlines. • Strong verbal communication, written communication, and organizational skills. • Must be able to lift 50 lbs. and operate a forklift. • Knowledge of electrical, pneumatic, and mechanical systems is a plus but unnecessary. • The ability to collaborate with coworkers, clients, and suppliers, emphasizing excellent customer service skills. • A self-directed individual who can work independently, tolerate a high work volume, and manage demanding customer service situations. • Ability to work independently, assist with various projects, and be assertive. • Organizational skills in parts inventory, service industry, and time management. Hours: 8:00 a.m. to 5:00 p.m. Monday through Friday, with one–hour lunch. Overtime may be required.
