Purchasing Coordinator

Job Summary

ASM Global the leader in privately managed public assembly facilities, has an excellent opening for a Purchasing Coordinator at Coliseo de Puerto Rico. The position will support the Operations Department overseeing the procurement of goods and services required for the daily operations and events of the facility. This position ensures that purchases are made in a timely, efficient, and cost-effective manner, in accordance with ASM Global’s policies and procedures. The role supports the Operations team and maintains effective relationships with vendors and internal departments.

Essential Duties, Include the following.  Other duties may be assigned:

Coordinates the purchasing process for operational and event-related supplies, equipment, and services.Works closely with the Operations Department to forecast supply needs and plan purchases accordingly.Prepares purchase orders, obtains quotes, and tracks deliveries to ensure timely fulfillment of requests.Maintains accurate records of purchases, pricing, and vendor information.Ensures compliance with internal procurement policies and applicable regulations.Assists with budget monitoring and cost control related to purchases.Communicate with vendors to negotiate pricing, terms, and delivery schedules.Coordinates return, replacements, or warranty claims with suppliers as needed.Collaborate with Finance to ensure timely invoice processing and payment.Supports inventory management by tracking stock levels and initiating recorders when necessary.Participate in periodic audits and internal inventory reconciliations.Maintains organized digital and physical filing systems for all purchasing documentation.

Strong negotiation and communication skills.Excellent organizational and time management abilities.Attention to detail and problem-solving skills.Ability to work under pressure and meet deadlines.Must be able to read and write in both Spanish and English.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Experience with purchasing or inventory software preferred.
