Proposal Supervisor

FLSA Status: Exempt, Salary

Reports To: Director of Business Development

Job Type: Full-Time, Regular

Compensation: $70,000 - $90,000 per year, based on relevant experience

This position is open to remote candidates; however, candidates must reside within the continental United States.

JOB SUMMARY: The Proposal Supervisor plays a key role in supporting Eocene’s Business Development and regional marketing efforts by ensuring the timely completion of high-quality proposals. This position is responsible for overseeing the quality control of all proposal and marketing deliverables, while also managing a team of Proposal Administrators. The Proposal Supervisor will lead the coordination of all proposal activities, including tracking, organization, communication, writing, and the development of proposal materials.

Staff Management:

Oversee the Proposal Administrators and help to manage proposal tasks and workloads for the team

Work closely with our Regional Managers, Executive team, Business Development Director, and Proposal Champions in understanding proposal priorities and driving these priorities

Manage own proposal coordination tasks and meeting proposal deadlines in addition to leading our team of Proposal Administrators

Proposal and Business Development:

Coordination, writing and development of proposals working with our Proposal Champions and teams from the pre-RFP stage to the final proposal delivery

Prepare support text, matrices, and tables and coordinate graphics for proposals

Maintain the overall proposal tracker and dashboard and prepare routine summary reports

Research and track proposal opportunities

Support proposals with editing and quality control review

Coordinate and prepare presentations and other business development deliverables along with follow-up proposal interviews

Help create customized marketing materials and provide quality assurance of all proposals and business development materials

Manage, coordinate, and verify the quality of deliverables

Review and approve invoices from on-call graphic specialists

Ensure all proposals are submitted by their deadlines

Maintain regular and punctual attendance at work and meetings

Quality Control

Responsible for the maintenance of a proposal quality control program

Run proposal debriefs to understand the details when our team loses a proposal award and implement strategies to improve our proposal processes

Ensure that documents, deliverables, and proposals meet Eocene standards for quality, formatting, and branding guidelines

Collaboration with Eocene Marketing for templates and marketing materials and ensuring these materials are up to date and include most current information

Training

Build and implement training materials for the proposal program

Support building our proposal library and organization for federal focuses proposals, large MSA proposals and sector and service focused proposals

Conduct 1:1 meetings with Proposal Administrators

JOB REQUIREMENTS:

Bachelor’s degree in Marketing, Communications, English, or closely related field

Minimum 3-5 years of professional experience in proposal development, writing, and/or marketing

Prior experience supervising a team or direct reports

Experience with Microsoft Suite (Word, Excel, PowerPoint, Outlook), InDesign, Photoshop, and Illustrator

Strong writing, grammar and proof-reading skills

Ability to take ownership of a project from start to finish and see it through to completion

Ability to work effectively under pressure and within tight deadlines

High degree of organizational, time-management, attention to detail, and multi-tasking skills

Interpersonal communication and team-building skills

Excellent critical thinking and problem-solving skills

Excellent collaboration skills with a focus on rapport-building, listening, questioning, and patience; adept at communicating effectively with all levels of employees – both technical and non-technical

Ability to adapt to a dynamic, fast-paced, and ever-changing environment

PREFERRED EXPERIENCE:

Previous experience working in the Environmental Consulting industry
