Job Title: Property Administrator
Job Description
We are seeking a dedicated Property Administrator who will play a crucial role in providing administrative support across various departments. This position involves a blend of administrative, accounting, and tenant relations responsibilities, ensuring smooth operations and superior customer service.
Responsibilities
Provide direct administrative support to managers.Track and maintain Certificates of Insurance (COI) for tenants and contractors.Ensure proper filing of all property documents, including leases, legal correspondence, service contracts, reports, and payables.Regularly check and respond to emails.Prepare express mail packages and manage office supplies for mailing needs.Ensure compliance with management audit requirements.Assist team members with budget preparation for the property.Manage accounts payables by entering invoices into the accounting system, coding them, and obtaining approvals for payment.Handle W-9 forms from vendors.Print Aged Delinquency reports and send delinquency letters to tenants.Prepare manual adjustment forms for miscellaneous tenant service requests.Assist with accounts receivable processes.Provide superior customer service to tenants, clients, contractors, and vendors.Review and update the Tenant Handbook as necessary.Prepare tenant memos and correspondence as directed.Coordinate tenant move-ins and move-outs, acquiring necessary authorizations and documents.Maintain and update tenant, employee, and contractor contact lists regularly.Perform any other duties as assigned by the Manager.Essential Skills
Proficient knowledge of Microsoft Word, Excel, and PowerPoint.Willingness to learn new software applications for clients.Ability to work flexible hours when necessary, which may exceed standard 8-hour workdays or 40-hour workweeks.Additional Skills & Qualifications
An Associate or Bachelor's degree is preferred, though an equivalent combination of education and experience will also be considered.One year of related experience and/or training in administrative support or property management is desired.Experience in the Property Management market is considered a plus.Skills in property management, commercial property, data entry, Yardi, property administration, and customer service are beneficial.Work Environment
This position is 100% on-site in Columbia. The role requires flexibility in hours, which may sometimes exceed standard workdays or workweeks.
Job Type & LocationThis is a Contract to Hire position based out of Columbia, MD.
Pay and BenefitsThe pay range for this position is $26.44 - $26.44/hr.
