Position Overview:
Robert Half is partnering with a leading property management firm in search of a skilled Property Administrator to support the daily operations of a high-profile commercial campus. This role is integral in delivering exceptional tenant service, supporting property operations, managing vendor relationships, and contributing to financial and administrative functions.
Key Responsibilities:
Client Services & Onsite Coordination
+ Serve as the onsite liaison for tenants, acting as both concierge and operations contact to ensure a high-quality client experience across the property.
+ Promptly address tenant requests and questions in line with established service timelines.
+ Assist in executing tenant engagement initiatives and experience programs in accordance with the approved property budget.
+ Plan and coordinate client-focused events and appreciation activities as outlined in the annual budget.
Invoice & Financial Processing
+ Review, code, and process invoices for timely accounts payable submission, ensuring no service delays or penalties.
+ Set up new vendors and maintain accurate records for all vendor accounts.
+ Manage routine billing processes, including monthly rent statements, CAM charges, late fees, and other lease-based billing components.
+ Support the Property Manager and Asset Services team by reviewing outstanding balances and following up on collections weekly or as needed.
Vendor Compliance & Documentation
+ Oversee the collection and maintenance of Certificates of Insurance (COIs) for all vendors and tenants, ensuring they meet property requirements and remain current.
+ Maintain orderly and up-to-date administrative records across all property functions.
Property Operations & Facility Inspections
+ Assist in overseeing building operations, including regular back-of-house functions.
+ Conduct monthly walkthroughs of tenant suites and common areas to identify any maintenance or safety concerns.
+ Track facility issues using Angus or similar software, and coordinate follow-ups with engineering and maintenance teams to ensure swift resolution.
Requirements
Qualifications:
+ At least 2 years of experience in property administration, real estate operations, or commercial facilities support.
+ Familiarity with software platforms like Yardi, Kardin, Angus, preferred.
+ Strong organizational and multitasking skills with keen attention to detail.
+ Excellent communication and interpersonal skills with a customer-first attitude.
+ Proven ability to collaborate with cross-functional teams and manage administrative priorities in a fast-paced environment.
