About the Role:
Robert Half is working with a prominent client in the property management space to hire a Property Administrator who will play a vital role in supporting day-to-day building operations, vendor coordination, and tenant engagement efforts. This individual will be the go-to resource for onsite tenants, supporting the facilities and asset management teams while ensuring operational excellence and top-tier client satisfaction.
What You’ll Do:
Tenant & Client Relations
+ Act as the primary onsite contact for tenants, providing concierge-style service and ensuring timely responses to all inquiries and service requests.
+ Assist with the coordination and execution of tenant programming and community engagement events aligned with the property's annual goals.
+ Foster strong, positive relationships with tenant contacts to support retention and satisfaction.
Operations & Facilities Support
+ Support property inspections by conducting regular walkthroughs and documenting facility issues.
+ Use systems like Angus to create, monitor, and close service requests, and partner with engineering and maintenance teams for resolution.
+ Ensure the back-of-house and shared spaces are clean, functional, and aligned with brand standards.
Financial & Administrative Duties
+ Process incoming invoices and code expenses accurately for timely submission, helping avoid penalties or service interruptions.
+ Manage vendor onboarding and ensure all required documentation is collected and current.
+ Support accounts receivable functions, including generating rent rolls, applying charges such as CAM, and assisting with billing for non-standard services.
+ Partner with the property team to track delinquencies and support collections efforts as needed.
Compliance & Insurance Tracking
+ Maintain accurate records of vendor and tenant Certificates of Insurance and follow up to ensure compliance with property standards.
Requirements
What You’ll Need:
+ Minimum 2 years of administrative experience in commercial real estate, facilities, or property operations.
+ Strong customer service orientation with a proactive approach to solving issues.
+ Comfortable using property management platforms such as Yardi, Kardin, and Exiger.
+ High attention to detail and ability to manage multiple competing priorities with professionalism.
+ Excellent written and verbal communication skills.
