Overview:
Robert Half is seeking a detail-oriented and service-driven Property Administrator to support the onsite operations of a premier commercial property. This role is central to ensuring a seamless experience for tenants, maintaining operational compliance, and keeping financial and administrative processes running smoothly. The ideal candidate is a strong communicator, highly organized, and thrives in a fast-paced, client-focused environment.
Key Duties & Responsibilities:
Tenant Support & Engagement
+ Serve as the first point of contact for tenant inquiries and onsite needs, offering professional and timely assistance.
+ Support client experience initiatives, including planning and facilitating tenant events, programs, and concierge services.
+ Maintain consistent communication with tenant contacts to ensure satisfaction and prompt issue resolution.
Vendor & Compliance Coordination
+ Initiate and manage new vendor setup, ensuring all required documentation is submitted.
+ Track Certificates of Insurance for all vendors and tenants, ensuring ongoing compliance and renewal follow-ups.
+ Maintain accurate vendor contact and service records for smooth coordination of ongoing work.
Facilities & Operational Oversight
+ Participate in property walk-throughs and inspections to identify issues and ensure a clean, functional environment.
+ Log service needs into systems and coordinate with the facilities and engineering teams to close out work orders.
+ Support general property upkeep by coordinating back-of-house logistics and ensuring service programs are followed.
Financial & Budget Support
+ Assist with the preparation of annual operating budgets and ongoing financial reporting, including monthly variance reports and quarterly forecasts.
+ Contribute to CAM reconciliations and other key reporting deliverables using platforms such as Kardin and Yardi.
Requirements
Qualifications:
+ 2+ years of experience in property administration, commercial real estate, or facilities coordination.
+ Familiarity with property software platforms strongly preferred.
+ Exceptional organization, time management, and customer service skills.
+ Ability to prioritize tasks and handle multiple projects in a deadline-driven environment.
+ Professional communication skills and a high level of attention to detail.
