Project Specialist - Office of the Provost

The University of Southern Maine invites applicants for a Project Specialist position that will support the Office of the Provost. We seek a Project Specialist who will provide direct project coordination and support for a variety of initiatives in the Office of the Provost and the Academic Affairs Division.
As the Project Specialist (https://drive.google.com/file/d/1pMZ3BssqxFgbEWgzT0xXTrmRqPmhu5M8/view?usp=sharing) , this position is responsible for the management, supervision, and administration of the Office of the Provost and Academic Affairs and often serves as the central point of contact for communication with key internal and external stakeholders. The Project Specialist ensures that the office runs efficiently and effectively in supporting students, faculty, staff, trustees and the community in a professional, friendly, effective and timely way, in support of the mission of the university.
Duties include, but are not limited to:
+ Coordinating team meetings which include special projects/initiatives.
+ Facilitating and assisting in the preparation of executive level presentations.
+ Ensuring appropriate stakeholders are involved in relevant planning and decision-making processes.
+ Overseeing the management and prioritizing access of the Provost’s calendar.
+ Facilitating personnel actions which include tracking faculty appointments, reappointments, sabbatical, post tenure, promotions, and tenure.
+ Preparing and submitting tenure materials for President and Vice Chancellor approval.
+ Coordinating travel for the Provost.

This is a full-time position located on our Portland Campus with a starting annual salary up to $62,000 with benefits.

Required Qualifications:
+ Bachelor’s degree and 3+ years of related experience.
+ Experience with project coordination in an academic or equally complex setting.
+ Computer proficiency - intermediate to advanced (ex. MS Office, HRIS, G-Suite, web) skills in office technology, software programs, and presentation development.
+ Ability to work well with many people at all levels.
+ Excellent communication and interpersonal skills.
+ Ability to manage multiple tasks, has the ability to prioritize and maintain high quality work product with a keen attention to detail.
+ Exceptional interpersonal skills and the ability to interact effectively with a wide range of individuals and constituencies in a diverse community.
