Job Title: Project Specialist

Job Description

The Project Specialist supports cross-functional projects by coordinating activities, maintaining detailed documentation, and ensuring that timelines, deliverables, and client expectations are consistently met. In this role, you partner closely with Project and Program Managers to drive logistical clarity, support timely execution, and enable strong communication across internal teams and external stakeholders. This position is ideal for a highly detail-oriented professional who enjoys working in structured or regulated environments and is energized by managing multiple projects simultaneously, particularly within the medical technology and product development space.

Responsibilities

Track project and program performance against defined plans, including scope, timelines, and budgets.Manage project timelines, milestones, action items, and deliverables to ensure successful execution.Support the development of client-facing communications, presentations, and reporting materials.Coordinate with vendors and external partners to ensure timely and accurate delivery of services.Maintain detailed project documentation, including project plans, schedules, resource allocations, and budgets.Monitor project risks, dependencies, and changes, and escalate issues to leadership as appropriate.Facilitate coordination and communication across internal cross-functional teams and client stakeholders to ensure alignment and follow-through.Organize and distribute status updates and progress reports for client teams and internal stakeholders.Coordinate logistics for meetings, workshops, and group sessions under the guidance of project leadership.Participate in client meetings and internal project reviews to support planning, decision-making, and issue resolution.Contribute to lessons-learned activities and documentation during project or program closeout to support continuous improvement.Apply project management principles and practices to support consistent, structured execution across multiple engagements.Support project tracking activities, including use of spreadsheets and related tools to monitor progress and metrics.

Essential Skills

Bachelor’s degree in Business, Life Sciences, Engineering, or a related field, or an equivalent combination of education and experience.1–3 years of experience in project coordination, consulting, regulated industries, or similar structured environments.Strong understanding of project management principles and processes.Strong Excel skills, including the ability to manage and track project data; experience with SmartSheets is a plus but strong Excel skills are required at a minimum.Proficiency with MS Office, including PowerPoint, for creating client-facing materials and internal documentation.Excellent written and verbal communication skills.Strong interpersonal skills with a high level of attention to detail.Ability to manage multiple priorities and meet deadlines in a fast-paced environment.Comfort working with structured documentation and detailed project tracking tools.Client-service orientation with a proactive, professional approach.Ability to collaborate effectively within cross-functional teams.Willingness to travel occasionally as project needs require.Ability to work in a hybrid environment based out of Providence, RI.

Additional Skills & Qualifications

Prior project management experience; a formal PMP certification is not required.Experience in project coordination or consulting roles.Project tracking experience using spreadsheets or similar tools.Experience with Quality Management Systems (QMS).Product development knowledge, particularly in structured or regulated settings.Exposure to client-facing project coordination and stakeholder communication.Familiarity with project management skills and practices applied in regulated or medical technology environments.

Work Environment

This role is based in Providence, RI, within a hybrid work model where you work on-site approximately two to three days per week and remotely on other days. You will have your own dedicated workspace when on-site, supporting focused, organized work on multiple concurrent projects. The environment is collaborative and mission-driven, with a strong emphasis on accelerating medical technology innovation and bringing life-improving devices to market. You will work closely with cross-functional teams in clinical research, regulatory, engineering, and related disciplines, using tools such as Excel, SmartSheets (where applicable), and the broader MS Office suite to manage project documentation, reporting, and communications. The culture emphasizes professional growth, structured processes, and clear communication in a fast-paced yet supportive setting.

The pay range for this position is $70000.00 - $100000.00/yr.
