The Project Manager will play a key role in supporting the operational and compliance needs of the Global Medical Affairs team. This individual will be responsible for coordinating cross-functional logistics for advisory boards, publications, congress planning, contracting, and compliance submissions. The ideal candidate will be highly organized, detail-oriented, and skilled at managing multiple stakeholders and complex processes.
 
Key Responsibilities:

 Manage logistics and execution for Advisory Board and Publication Meetings

Support congress planning and education efforts by coordinating with agencies, GMAD, GMAL, and internal stakeholders

Coordinate agendas, slide decks, and meeting minutes for GMAT and internal team meetings

Participate in and lead weekly/bi-weekly meetings with external vendors/agencies for planning and logistics

Track and manage advisor contract redlines and communicate changes with the contracting team

Submit and manage Totality submissions (approx. 20–50 annually) for all Neuroscience global medical affairs projects, including publications, advisory boards, and sponsorships

Ensure all submissions are compliant with internal policies and reviewed by the Health Care Compliance Officer

Initiate and track contract execution, including eMP requests, PO increases, and Work Order amendments

Serve as liaison with the contracting team from Totality approval to contract execution, providing support and troubleshooting as needed

Maintain and update SKIM and SharePoint sites relevant to medical affairs

Manage email distribution lists for internal communications

Obtain quarterly publication metrics from external agencies and input data into Oncology publication metric systems

Administer the ReCAP Global Review Committee site and submissions

Maintain budget and finance trackers

Cross-reference and track eMP, Totality, contract, and PO numbers

Follow up on outstanding contract and PO requests to ensure timely processing and compliance

 
Qualifications:

Bachelor’s degree or equivalent work experience required

3+ years of experience in medical affairs, clinical operations, or project coordination within a pharmaceutical or biotech environment

Familiarity with systems such as Totality, eMP, SharePoint, and SKIM

Strong organizational, communication, and stakeholder management skills

Experience working with contracts, compliance reviews, and publication processes

Ability to manage multiple projects and deadlines with a high degree of accuracy
