Job Description
The Project Management Analyst supports end to end project governance, financial accuracy, data quality, and resource management across the Foundation Delivery Program and Project portfolio. This role acts as a central partner to Project Managers (PMs), Program Managers (PGMs), and leadership by providing critical reporting, validating project health, coordinating resource needs, and ensuring timely execution of project controls.
The analyst ensures project data integrity, drives compliance with governance standards, and facilitates operational efficiency across multiple workstreams including onboarding, financials, data quality, and resource management.
1. Onboarding & Training
• Support onboarding of new PMs/PGMs, including training delivery using SOPs and job aids.
• Refresh VS Summary and ICS Cross Functional MOR datasets, ensuring accurate health indicators and data quality percentages.
• Maintain and update SharePoint sites, FAQs, and training materials.
• Prepare SQCDM for portfolio reviews (Mon/Thu).
• Process and present contract governance items for DOR review.
• Manage lease line reporting — identify terminations, update tracking, and coordinate with TEMS.
• Compile agendas and support follow up actions for portfolio review and training meetings.
• Prepare Governance Exception Reports covering anomalies across all major process areas.

2. Financial Operations
• Manage PO to GR accuracy, ensuring PMs complete goods receipts monthly and reporting anomalies during DOR.
• Monitor Expired/Expiring POs, collaborating with PMs to extend, close, or GR as appropriate.
• Manage the Forecast Change Log: send reminders, review submissions, validate against Power BI data, and support leadership review.
• Participate in financial calls (Financial Portfolio Project Approval, Year End Financial review).
• Identify, track, and escalate financial anomalies and exception conditions.
• Oversee excess material management: produce monthly warehouse reports, identify operative projects, and support disposition planning.

3. Data Quality & Governance
• Generate and distribute Planisware Data Integrity & Adoption Reports (Data Quality, All Milestones).
• Partner with PMs to resolve data quality issues prior to weekly/biweekly governance reviews.
• Monitor Stage & Gate timelines: send reminders, schedule formal reviews, and report anomalies.
• Manage Asset/Metrics Business Milestone reporting and monthly variance reports.
• Coordinate project closure readiness: review anomalies, confirm operative dates, collaborate with PSA, and update closure tracking.

4. Resource Management
• Coordinate T300 resource scheduling to align with project timelines and scope.
• Act as liaison between the PM and scheduling teams, communicating risks or changes to resourcing.
• Monitor site and construction readiness.
• Prepare and participate in resource calls (including cross regional review: North, Bay, Central).
• Facilitate Dedicated Contract Engineer meetings, track workload updates, and manage new assignment communications.
• Produce and validate Assignment Capacity Reports, confirming forecast hours and generating necessary dashboards/graphs.

5. Governance & Reporting
• Prepare Weekly Governance Exception Reports summarizing anomalies across:
o Onboarding & Training
o Financials
o Data Quality
o Resource Management
• Support leadership reviews by providing clear, concise summaries of exception areas and recommended actions.
• Ensure compliance with governance standards, timelines, and reporting expectations across all portfolios.

Skills and Requirements
• Strong understanding of project management methodologies and governance processes.
• Proficiency with tools such as Power BI, Planisware, Atlas, SharePoint, and MS Teams.
• Ability to produce and interpret complex reports with high attention to detail.
• Excellent communication and stakeholder management skills, including working with PMs, engineers, and leadership.
• Strong organizational, analytical, and problem solving capabilities.
• Experience coordinating cross functional activities and facilitating meetings.
• Comfort working with financial data, forecasts, accruals, and project lifecycle metrics. • Prior experience in Infrastructure project environments.
• Background supporting portfolio level governance or PMO functions.
• Familiarity with resource management processes (project resource capacity, resource forecasts, etc.).
• Power BI and/or Power Apps development
