Project Documentation Specialist
Location: Saint Paul, MN
Pay Rate: $19.00 - $21.00/hour (Depending on Qualifications & Experience)
Schedule: Monday - Friday, 8:00 AM - 5:00 PM (In-Office)
Position Overview:
Beacon Hill's client in Saint Paul, MN is seeking a detail-oriented and proactive Project Documentation Specialist to support the coordination and execution of solar installation projects. This role focuses on managing critical documentation, permit and rebate application submissions, and utility approval processes. The ideal candidate excels in organization, communication, and time management, ensuring projects move efficiently through key administrative milestones.
Key Responsibilities:
Communicate with clients to gather and verify documentation required for interconnection and rebate applications.
Track the status of applications with utilities and agencies; follow up to ensure timely processing.
Submit final documentation to utilities to obtain Permission to Operate (PTO) for completed installations.
Prepare and submit permit applications; maintain accurate and updated project data in internal systems.
Monitor permit approval statuses, address missing information promptly, and ensure compliance with submission timelines.
Process permit payments; review received permits and plans for accuracy and completeness.
Manage email correspondence related to project applications and respond as needed.
Create monitoring accounts and generate quotes for accessory installations.
Provide administrative support to the Permissions and Design team; assist with maintaining accurate records and project documentation.
Contribute to a collaborative and efficient work environment.
Required Qualifications:
1-3 years of administrative, permitting, or project coordination experience (experience in solar or utilities is a plus).
Familiarity with permitting processes and interconnection applications preferred.
Proficient in CRM systems, Google Workspace (Docs, Sheets, Gmail, Calendar, etc.), and modern software tools.
Strong written and verbal communication skills; professional and customer-service-oriented demeanor.
Highly organized, detail-oriented, and able to manage multiple priorities and deadlines.
Ability to work independently and collaboratively within a team.
Proactive in identifying issues and escalating as needed.
Positive attitude and commitment to high-quality service in a fast-paced environment.
Additional Details:
Hybrid work arrangement may be available after training and based on performance.
Other duties may be assigned as needed by management.
