Job Description
The Project Coordinator will provide operational and administrative support to the Technical Program Manager responsible for the enterprise-wide implementation of a new Incentive Compensation Management (ICM) solution. This role is critical in ensuring alignment, communication, and execution across multiple concurrent programs with a shared go-live date, spanning finance, internal technology, and professional services teams.
The Project Coordinator will serve as the execution arm for day-to-day program operations—driving scheduling, managing change requests, tracking deliverables, and consolidating updates—allowing program leadership to focus on strategic decision-making and cross-functional alignment.
**Key Responsibilities**
+ Coordinate, schedule, and facilitate alignment calls, stakeholder syncs, and workstream-specific meetings, including agenda creation and note-taking.
+ Own the intake, documentation, and tracking of change requests, ensuring adherence to governance processes and timely stakeholder updates.
+ Maintain up-to-date status decks, Slack updates, and program documentation, ensuring accurate and timely communication to leadership and cross-functional partners.
+ Consolidate workstream updates into concise summaries for steering committee and leadership reporting.
+ Track RAID items (Risks, Assumptions, Issues, Dependencies) and proactively follow up to drive resolution.
+ Ensure all program materials, trackers, and logs are version-controlled and accessible in the designated collaboration platforms.
+ Support stakeholder engagement through timely communications, meeting reminders, and action item follow-ups.
+ Identify opportunities for process improvement in program coordination, reporting, and documentation.
**Ideal Candidate Profile**
+ Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
+ Proven experience supporting large, cross-functional technology or business transformation programs.
+ Proficiency in enterprise collaboration tools (e.g., Slack, Google Workspace [Slides, Sheets], Microsoft Office).
+ Excellent written and verbal communication skills, with the ability to synthesize information for leadership audiences.
+ Comfortable working with ambiguity and adapting to evolving program needs.
**Project Coordination & Scheduling**
+ Coordinate and schedule alignment calls, stakeholder syncs, and cross-functional working sessions across finance, internal technology, and professional services teams.
+ Maintain and distribute meeting agendas, notes, and action items; track follow-ups to closure.
+ Monitor critical path dependencies and proactively escalate scheduling conflicts or risks to the Technical Program Manager.
**Change Request Management**
+ Manage intake, tracking, and documentation of change requests for all workstreams within the program.
+ Maintain an up-to-date change request log, ensuring alignment with governance processes and approval workflows.
+ Track and communicate change request status to relevant stakeholders, escalating delays or high-impact changes as needed.
**Status Reporting & Communications**
+ Update program and workstream status decks with the latest progress, risks, and dependencies for leadership reporting.
+ Maintain accurate status updates in Slack channels, Confluence pages, or other collaboration platforms as directed.
+ Consolidate inputs from multiple workstream leads into clear, concise summaries for leadership updates.
**Documentation & Tracking**
+ Maintain program trackers, RAID (Risks, Assumptions, Issues, Dependencies) logs, and other key operational documents.
+ Ensure all documentation is version-controlled and accessible to relevant stakeholders.
+ Assist in preparing presentation materials for steering committee and executive leadership meetings.
**Stakeholder Engagement Support**
+ Serve as the first point of contact for logistical and administrative inquiries from workstream leads and cross-functional teams.
+ Support internal communications by drafting and sending stakeholder updates, meeting reminders, and action item follow-ups.
**Operational Excellence**
+ Identify and recommend process improvements to streamline coordination and reporting activities.
+ Ensure consistent use of program management tools, templates, and best practices across workstreams.
