Project Coordinator – Bristol, CT (Fully Onsite)

Overview
We are seeking a detail‑oriented and proactive Project Coordinator to support our West Coast Regional Sales Managers (RSMs) and their ongoing customer projects. This role is responsible for processing merchandise orders, maintaining project documentation, coordinating with internal teams, and ensuring exceptional customer service. This is a fully onsite role in Bristol, CT, within a modern, newly renovated office environment attached to a manufacturing warehouse.
Key ResponsibilitiesOrder Processing & Documentation
+ Review incoming orders to ensure pricing and quantities are accurate.
+ Enter orders into SAP and maintain complete project documentation (Quotes, Purchase Orders, etc.).
+ Calculate costs, commissions, taxes, and shipping charges.
+ Notify customers of updated pricing, ship dates, delays, or missing information.
+ Prepare order documents for Customer Service Manager review.
Project Coordination
+ Confirm material allocation or ordering; coordinate material arrival dates with the Procurement Manager.
+ Prepare production documents and provide them to the Production Coordinator.
+ Track production orders to ensure on‑time delivery.
+ Verify accuracy of shipping orders and freight costs.
+ Communicate special packaging or labeling requirements to production and shipping teams.
Customer & Cross‑Functional Support
+ Communicate regularly with Sales Representatives to confirm customer expectations.
+ Record customer complaints and partner with Customer Service to improve overall experience.
+ Assist customers directly and route inquiries appropriately.
+ Understand customer processes to better support project requirements.
+ Maintain accurate customer contact information in SAP.
+ Follow up on project backlogs according to material requirement timelines.
+ Create Sample Requests and ensure timely shipment.
+ Create shipping documents for carriers.
+ Prepare customized reports, KPIs, and correspondence; maintain updates within databases.
+ Work closely with production, shipping, and warehouse teams to expedite or trace shipments.
Essential Skills & Qualifications
+ 3+ years of administrative, project coordination, or related experience.
+ Strong data‑entry accuracy; Excel proficiency required.
+ Excellent written and verbal communication skills.
+ Experience with construction administration, document control, or customer service is a plus.
+ Hands-on experience with SAP ERP and Salesforce.com preferred.
+ Ability to stay organized and accurate in a fast‑paced environment with frequent interruptions.
+ Strong prioritization skills, especially during production meetings.
+ High level of teamwork, interpersonal skills, and flexibility.
+ Proficiency in Microsoft Office and Outlook.
+ High school diploma or GED (or equivalent experience).
+ Ability to lift files, access filing cabinets, and use a step stool as needed.
Work Environment
+ Newly renovated, modern office with spacious L‑shaped desks shared among a team of four.
+ Role requires walking through an attached manufacturing warehouse; safety glasses must be worn when required.

Pay and Benefits
The pay range for this position is $28.00 - $30.00/hr.
