Job Description
The Project Coordinator plays a critical role in supporting order processing and project administration. This position involves handling orders received through multiple channels (mail, phone, fax, email), ensuring accuracy, and maintaining strong communication with customers and internal teams. Reporting to the Project Manager, the Project Coordinator ensures smooth project execution and timely delivery of products and services.
Responsibilities
+ Review incoming orders for accuracy in pricing and quantities.
+ Build strong relationships with Sales Representatives to understand customer expectations.
+ Enter orders into SAP promptly and maintain documentation for quotes and purchase orders.
+ Calculate costs, commissions, taxes, and shipping charges.
+ Communicate updates to customers regarding costs, shipping dates, delays, and other requirements.
+ Ensure paperwork accuracy and follow up with customers as needed.
+ Forward order documents to the Customer Service Manager for review.
+ Confirm material allocation and coordinate with Procurement on delivery schedules.
+ Prepare production documents and organize them for the Production Coordinator.
+ Track orders through production to ensure on‑time delivery.
+ Verify shipping orders for accuracy and freight costs.
+ Communicate special labeling or packaging requirements to relevant departments.
+ Prepare reports, KPIs, correspondence, and update databases as required.
+ Record customer complaints and collaborate with Customer Service to improve processes.
+ Work with production, shipping, and warehouse teams to resolve delays or missing shipments.
+ Maintain customer databases and ensure SAP contact information is current.
+ Follow up on backlog projects based on material requirement dates.
+ Create and track sample requests to ensure timely shipment.
+ Generate shipping documents for carriers, including replacements or customer‑paid shipments.
+ Perform other duties as assigned.
Essential Skills
+ Experience in administrative support or project coordination.
+ Strong attention to detail and accuracy in data entry.
+ Proficiency in Excel and Microsoft Office Suite.
+ Excellent communication skills, both written and verbal.
+ Background in construction administration, document control, customer service, invoicing, or purchase orders.
+ Experience with SAP ERP and Salesforce.com preferred.
+ Flexibility and strong interpersonal skills.
Additional Skills & Qualifications
+ Ability to stay focused and accurate despite interruptions.
+ Strong organizational and prioritization skills.
+ High school diploma or GED, plus 1–3 years of related experience/training, or equivalent education/experience.
+ Physical ability to lift files, open cabinets, and perform standard office tasks.
Work Environment
This is a fully onsite role in a modern office setting. The workspace includes large L‑shaped desks within a team of four, offering a collaborative and professional environment with strong tenure and a positive atmosphere.

Pay and Benefits
The pay range for this position is $20.00 - $29.00/hr.
