Job Description
Take the next step in your professional development with an exciting opportunity as a Project Coordinator. In this role, you will be responsible for processing orders for merchandise received through various channels such as mail, telephone, fax, email, or in-person from customers or company employees. Reporting to the Project Manager, this nonexempt position will be pivotal in ensuring the smooth operation of order processing and customer satisfaction.
ResponsibilitiesReview orders received for price and quantity accuracy.Communicate frequently with Sales Representatives to understand customer expectations.Enter orders into SAP promptly and maintain project information and documentation for all Quotes/Purchase Orders.Compute costs, sales representative’s commission, applicable taxes, and shipping charges.Inform customers of updated unit costs, shipping dates, anticipated delays, and additional required information.Ensure all paperwork is accurate and sent to and received from customers, following up as necessary.Print order documents and forward them to the customer service manager for review.Confirm material allocation or order and follow up with Procurement Manager regarding material arrival date.Prepare production documents and insert them into specific notebooks for the Production Coordinator.Follow up on orders sent to production to ensure delivery by specified dates.Check shipping orders for accuracy regarding quantity shipped and updated freight costs.Specify special labeling or packaging requirements for shipments and communicate with production and shipping departments.Prepare documents including customized reports, KPIs, and correspondence, updating various databases as required.Record customer complaints and work with Customer Service Manager to improve customer experience.Collaborate with internal resources to ensure high levels of customer satisfaction.Expedite or trace missing or delayed shipments by conferring with production, shipping, warehouse, or carrier personnel.Learn customer processes and tools to support customer requirements.Maintain and update customer name and address database in SAP.Follow up with customers regarding backlog projects weekly or monthly based on material requirement dates.Create Sample Requests and ensure timely shipment.Create shipping documents for carriers, whether at customer cost or as no-charge replacements.Perform other duties as assigned.Essential Skills3+ years of Admin/Coordination experience.Proficiency in Microsoft Office applications and Outlook.Knowledge of SAP or other equivalent ERP software.Strong communication skills.Attention to detail.Excel data entry and accuracy.Customer service experience.Additional Skills & QualificationsHigh level of interpersonal skills.Flexibility and teamwork capacity.Oral and written communication proficiency.Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.Capability to walk primarily on a level surface for periods and reach above shoulder heights or below waist.High school diploma or GED diploma, or one to three years’ related experience and/or training, or equivalent combination of education and experience.Strong organizational skills to manage constant interruptions.Work Environment

The manufacturing warehouse is attached to the building, requiring comfort in walking back onto the floor with safety glasses to discuss order timelines and specifications. Pay and BenefitsThe pay range for this position is $20.00 - $29.00/hr.
