Project Coordinator
Description Robert Half's client in Alamo, CA is looking for a detail-oriented Project Coordinator to join their team. This long-term contract position offers an exciting opportunity to support construction and engineering projects by managing essential documentation, tracking equipment and permits, and maintaining organizational tools such as Smartsheets. The successful candidate will collaborate closely with a Project Manager to ensure tasks are executed efficiently and projects are completed successfully. Project Coordinator Responsibilities: • Prepare and organize job packets and folders for foremen and superintendents, ensuring all documentation is accurate and accessible. • Track and manage equipment rentals, coordinating timely returns or extensions as needed. • Monitor and oversee project permits to ensure regulatory compliance and adherence to deadlines. • Process and track purchase requests, confirming delivery and maintaining accurate records to support project needs. • Collaborate with the assigned Project Manager to execute tasks and maintain project workflow effectively. • Assist in project closeouts by gathering necessary documentation and completing final checklists. • Maintain and update project details, timelines, and progress using Smartsheets, ensuring team members have access to current information. • Support master scheduling efforts, ensuring project timelines are adhered to and adjustments are communicated promptly. • Contribute to the development and maintenance of checklists to streamline project processes and ensure thorough completion of tasks. Requirements • Proven experience in project coordination or a related role, preferably within construction or engineering. • Strong organizational skills with the ability to manage multiple tasks and priorities effectively. • Proficiency in Smartsheets and other project management tools. • Excellent communication skills to collaborate with team members and external stakeholders. • Knowledge of construction project workflows, including permitting and equipment management. • Detail-oriented approach to documentation and record-keeping. • Ability to work independently and as part of a team in a fast-paced environment. • Familiarity with master scheduling and timeline management processes.
