Project Coordinator
Description We are looking for a detail-oriented Project Coordinator to join our team on a long-term contract basis in Chicago, Illinois. This role involves supporting procurement and supplier onboarding processes for integrated facility management accounts, ensuring compliance and effective communication across stakeholders. The position is currently remote but may transition to an in-office role in the future. Responsibilities: • Coordinate supplier onboarding processes, including data entry and management through procurement technology platforms. • Create and maintain vendor information packets and attachments to support account transitions. • Analyze and manage large datasets, utilizing advanced Excel functions such as pivot tables to generate dashboards and reports. • Ensure supplier compliance with onboarding requirements, including administrative responsibilities within Corrigo. • Compile and complete bulk upload templates based on collected data during transitions. • Foster collaboration with internal and external stakeholders to ensure smooth and effective solutions. • Track and organize correspondence and authorizations, maintaining accurate and detailed files. • Monitor compliance with sourcing and contracting policies, addressing issues related to Certificates of Insurance and Rate Cards. • Support communication efforts to resolve compliance-related matters efficiently. • Assist in managing multiple projects with varying deadlines while escalating critical issues to transition team leads as needed. Requirements • Strong oral and written communication skills with the ability to build effective relationships. • Proficiency in advanced Excel functions, including pivot tables and duplicate checks. • Familiarity with sourcing and procurement technologies such as E1, Avetta, and other related tools. • Exceptional organizational and analytical abilities to handle large data sets and generate actionable insights. • Ability to prioritize tasks effectively and manage multiple projects within time-sensitive deadlines. • Adaptable to learning new processes and systems with minimal formal training. • Previous experience in administrative functions, compliance tracking, and vendor management. • Demonstrated multitasking capabilities and independent problem-solving skills.
