We are seeking a detail-oriented and proactive Project Coordinator to support our Contract team. In this role, you will partner closely with the Programme Delivery Manager and Project Managers to streamline project setup, financial management, reporting, and compliance for multiple high-value projects across our Auckland and Waikeria Contracts.This is a unique opportunity to join a long-term 20–25 year contract, offering exceptional stability, career development, and the chance to make a lasting impact in a highly significant environment.
Job Description
Key ResponsibilitiesSet up project files and create financial jobs in our internal systems.
Raise purchase orders, manage monthly project reconciliations, and assist with progress claims and invoicing.
Support procurement activities, including subcontractor pricing consolidation and preparation of tender documentation.
Draft and coordinate subcontractor agreements and ensure compliance with EHS, induction, and requalification requirements.
Maintain accurate project-related reporting for internal and external stakeholders.
Update asset registers, track warranties, and coordinate scheduled maintenance information.
Provide meeting support, cost control assistance, and project financial closeouts.
Assist with the preparation of project safety plans and EHS documentation.
Qualifications & ExperienceProven experience in administration or project coordination (Facilities Management or a similar environment preferred).
Proficiency in MS Office (Excel, Word, Outlook; MS Project advantageous).
Familiarity with financial software systems (JDE experience highly regarded).
Excellent organizational skills with the ability to work independently and manage competing priorities.
Strong written and verbal communication skills.
Understanding of Health & Safety requirements.
Knowledge of project management fundamentals is desirable.
