Job Description

We are currently recruiting for a Project Coordinator to join our fantastic team at our site based in Heathrow, Midlands or Birchwood Park. This is a truly exciting time to begin or continue your career with our first-class business, as a Project Coordinator you will be responsible for strategic project coordination with high-level business support, ensuring the effective operation and delivery of key initiatives within the organisation.

 

Key Responsibilities and Accountabilities

The successful candidate will be expected to:

Coordinate and monitor strategic projects, supporting planning and deliveryDevelop and maintain project documentation, schedules, and performance updatesEnable effective cross-departmental communication and accountabilityOrganise and facilitate workshops, reviews, and project meetingsIdentify operational risks, flag delays, and propose corrective actionsCollate data and insights for business intelligence reports and dashboardsManage logistics and scheduling for business line leadership team engagementsSupport preparation of meetings including attendees, agendas, records, and action trackingContribute to internal and external communications, including briefings and presentationsPrepare stakeholders for key business engagements and interactionsHandle sensitive records and information with discretion and careMonitor priorities and key deadlines to ensure leadership alignment

QualificationsBackground in high-paced administrative or operational environmentsExcellent organisational and prioritisation abilitiesClear and confident communication skills across stakeholdersStrong working knowledge of Microsoft Office Suite and project management toolsCreation and management of complex projects including:Time lines and milestone creation and trackingAction collation and disseminationAction follow up and reportingStakeholder management both internal, including executive level, and the wider stakeholder management landscapeAbility to operate across multiple sites and workstreams within a virtual environmentProfessional approach to handling strictly sensitive or confidential informationAbility to multitask and respond effectively to competing demands

Important Notice for Candidates

Due to the highly sensitive nature of the work we undertake on-site, applicants should note that security clearance will be required for this role. To gain security clearance you must have five years continuous residency in the UK. Security clearance is undertaken by a third party to police personnel vetting standards (NPPV3 and SC), as such any criminal convictions may prevent you from gaining security clearance.

In addition, due to the nature of the work we undertake on our EFS Midlands site, for employees based at EFS Midlands or likely to attend EFS Midlands as part of their role you must inform us if you come into contact with any firearms or ammunition through work or any other reason as there will be precautions you will need to take in order to enter the premises.  This also applies to persons involved in clay pigeon shooting, and those who regularly use any cartridge based tools such as nail/stud guns.  Please provide details on your application.
