Job Summary:

Do you enjoy managing a diverse portfolio of tasks involving communications, events management and business support in an international, fast paced work environment? We have an exciting opportunity at Caterpillar for a Project Coordinator to support the Resource Industries Sales, Services and Technology Department covering Europe, Africa, Middle East and Eurasia (EAME). The position reports to the Department’s Vice-President (VP) and is accountable to support events planning including agenda and content development, Department and VP communications, as well as ad-hoc monthly business reporting, and project management.

The role requires excellent organizing and communications skills as well proficient analytical skills, a strong intellectual curiosity, and a problem solving, agile mindset. It provides broad business exposure and the opportunity to make a visible business impact by playing a central coordination role in a dynamic, customer focus and international team.

What you will do:

Project Coordination (70%):

Tracking progress according to program schedules and goals; developing solutions to program problems.

Participating in the preparations of proposals, plans, and program specifications.

Developing the project scope documents, project timetables and other documents that would be provided to Project Managers.

Monitoring the scheduling, budget, and performance of company programs.


Marketing Communications, Data Analysis, Business Admin Support (30%):

Vice President communications support such as employee recognition and updates or presentations development and materials collection/review process

Leading or contributing to large events organization (Training, Sales initiatives, All Employee Meeting, Team building outings, etc) within assigned budget and timing.

Planning and organizing staff meetings (proposing content / agenda / location / logistics, budget, supplier payment, etc); complex VIP/dealer/customer visit organization and coordination.

Coordinating and tracking business analytics and reporting processes

Administrative support such as Purchase order management, budget tracking, update of distribution lists, data collection.

Participation in analyses to support businesses, determine sales and product demand supporting the sales, and operations process, and business reporting.

Key Skills For Your Successful Assignment:

Business Acumen: Basic knowledge of business concepts, tools, and processes that are needed for making sound decisions in the context of the company's business; ability to apply this knowledge appropriately to diverse situations.

Planning: Tactical, Strategic: Working knowledge of effective planning techniques and ability to contribute to operational (short term), tactical (1-2 years) and strategic (3-5 years) planning in support of the overall business plan.

Process Management: Basic knowledge of business process improvement tools and techniques; ability to understand, monitor, update, control, or enhance existing business or work processes.

Collaborating: Basic knowledge of collaborative techniques; ability to work with a variety of individuals and groups in a constructive and collaborative manner.

Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviours.

Problem Solving: Basic knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations.

Project Management: Working knowledge of effective project management strategies and tactics; ability to plan, organize, monitor, and control projects, ensuring efficient utilization of technical and administrative resources to achieve project objectives.
 

Data Gathering and Reporting: Basic knowledge of tools, techniques and processes for gathering and reporting data; ability to practice them in a particular department or division of a company.

What you have - Degree, Experience and Other Requirements:

Basic Requirements:

University or equivalent degree desired

Min 3 years of professional experience including either communications, events planning, or project management related responsibilities requiring strong planning, adaptability, multi-tasking, and outstanding communications skills.

Experience working in an international, dynamic work environment.

Fluency in speaking and writing English. Fluency in French or other European language as advantage.

Top Candidates Will Also Have:

Excellent knowledge of MS Office tools, especially Excel, Power Point, user knowledge of Power BI and Tableau.

Strong command of language, creativity and originality, supported by research skills or/and knowledge about SEO best practices.

Additional Information:

The position is based in Geneva. A valid Swiss work permit or Swiss or EU-25/EFTA citizenship is required for this position.​

No international relocation support will be provided.
Exceptionally, travel within EAME region may be required.
