Take the next step in your professional development with an exciting opportunity as a Project Coordinator. This role involves processing orders for merchandise received through various communication channels such as mail, telephone, fax, email, or in-person interactions with customers or company employees. You will report to the Project Manager and contribute significantly to the smooth operation of the order processing system.
ResponsibilitiesReview orders received for price and quantity accuracy.Communicate with Sales Representatives to understand customer expectations.Enter orders into SAP promptly and maintain all project documentation for Quotes/Purchase Orders.Compute costs, sales representative commissions, applicable taxes, and shipping charges.Inform customers of updated unit costs, shipping dates, anticipated delays, and other necessary information.Ensure all paperwork is accurate and follow up with customers as necessary.Print order documents for review by the customer service manager.Confirm material allocation or ordering and follow up with the Procurement Manager regarding material arrival dates.Prepare and organize production documents for the Production Coordinator.Follow up on production orders to ensure timely delivery.Verify shipping orders for accuracy in quantity and freight costs.Specify special labeling or packaging for shipments and communicate with production and shipping departments.Prepare documents including customized reports, KPIs, and correspondence while updating various databases.Record customer complaints and work with the Customer Service Manager to enhance the customer experience.Collaborate with internal resources to ensure high levels of customer satisfaction.Coordinate with production, shipping, warehouse, or carrier personnel to expedite or trace shipments.Learn and support customer processes and requirements.Maintain and update the customer name and address database in SAP.Follow up on customer projects in the backlog based on material requirement dates.Create Sample Requests and ensure timely shipment.Create shipping documents for carrier shipments, whether charged to the customer or as replacements.Perform other duties as assigned.Essential Skills3+ years of administrative or coordination experience.Attention to detail.Strong communication skills.Experience with project coordination, document control, customer service, invoicing, and purchase orders.Proficiency in SAP ERP and Salesforce.com.High level of interpersonal skills.Flexibility and teamwork capacity.Oral and written communication proficiency.Technical capacity.Additional Skills & QualificationsHigh school diploma or GED, or equivalent combination of education and experience.Proficiency in Microsoft Office applications and Outlook.Ability to maintain focus and accuracy despite interruptions.Strong organizational skills.Ability to lift files, open filing cabinets, and stand on a stool if necessary.Comfortable walking on level surfaces and reaching above shoulder height or below the waist.Must be tough enough to set priorities and command processes in production meetings.Work Environment
Work in a newly renovated, sleek, and contemporary office environment. You will be part of a team of four, working at large L-shaped desks in spacious work areas. The manufacturing warehouse is attached to the building, and you should be comfortable walking onto the floor with safety glasses to discuss order timelines and specifications. The work culture is positive, with no drama, and the company has a strong tenure with locations in Florida and California.
Pay and Benefits
The pay range for this position is $20.00 - $29.00/hr.
