We are seeking a detail-oriented and proactive Project Coordinator to support project teams with financial coordination, documentation, and administrative tasks throughout the project lifecycle. This role plays a critical part in ensuring project financial accuracy, compliance, and smooth coordination between field operations, accounting, and subcontractors.
Key ResponsibilitiesProject & Financial Coordination
Assist with accounts payable, including invoice review, processing, and purchase order (PO) trackingVerify and reconcile project expenses against approved budgets and forecastsSupport project billing activities and coordinate closely with the Accounting teamMaintain accurate, timely, and well-organized project financial recordsInsurance & Compliance Support
Support project-specific insurance requirements, including OCCIP/CCIP enrollment when applicableRequest, track, and maintain Certificates of Insurance (COIs) for subcontractors and vendorsCoordinate subcontractor prequalification documentation and follow up as neededProject Documentation & Controls
Assist with permit applications and required project documentationEnsure all records are properly submitted, tracked, and maintained in accordance with company and project requirementsSupport bids, submittals, RFIs, daily reports, and other project documentationMaintain logs and track the status of key project itemsProject Setup & Administrative Support
Assist with new project setup and coordination of jobsite needs, including storage, supplies, signage, safety materials, and related logisticsPerform general data entry and provide ongoing project coordination support to project managers and field teamsRequired Skills & CompetenciesProject coordinationAccounts payable and project billingProject controls and expense trackingForecasting and budget reconciliationQualificationsMinimum of 3 years of experience in a project billing, project coordinator, or similar roleConstruction industry experience requiredStrong organizational skills with exceptional attention to detail and the ability to manage multiple prioritiesProficiency in Microsoft Office (Excel, Word, Outlook)Clear, professional communication skills with a proactive follow-up mindsetReliable, self-motivated, and comfortable working both independently and as part of a teamNotary Public certification preferred (or willingness to obtain upon hire; company-sponsored)Why This Role?This is an excellent opportunity for a motivated professional who enjoys balancing financial accuracy, documentation, and hands-on project coordination in a fast-paced construction environment.

Pay and BenefitsThe pay range for this position is $25.00 - $28.00/hr.
