Under the direction of the Manager of HR Operations & Project Management, this entry-level Team Member will support the daily operations of the HR Operations team in a fast-paced, high-volume environment. This role is ideal for someone early in their career who is dependable, adaptable, and eager to learn while juggling multiple responsibilities.
Success in this position requires the ability to stay organized under pressure, adapt quickly to change, and show up on time every day. Reliability and consistency are essential, as this role directly supports critical HR operations and front-line coverage.
This position provides broad exposure to HR operations, administrative and legal support, customer-facing education programs, inventory management, and reception coverage. The work is varied, hands-on, and changes frequently based on business needs.
Essential Duties & Responsibilities
This role is evenly divided across the following core areas:
Administrative & Legal Support (25%)
Provide administrative support related to HR and legal documentation
Assist with organizing, maintaining, and tracking HR and legal records
Perform quality checks on electronic processes and documentation
Maintain strict confidentiality when handling sensitive information
HR Education Assistance Program Support (25%)
Learn the company’s HR Education Assistance Program and its resources
Assist in responding to calls and inquiries related to the education program
Provide clear, professional communication to Team Members by phone and email
Research common questions and help improve standard responses and resources
HR Equipment Inventory & Ordering (25%)
Maintain accurate inventory of HR equipment and supplies
Track usage, organize inventory records, and place orders as needed
Coordinate with vendors and internal teams to ensure timely replenishment
Identify opportunities to improve inventory processes and reduce costs
Reception & Operational Support (25%)
Provide coverage at the reception desk, serving as a first point of contact
Greet visitors, answer phones, and direct inquiries appropriately
Provide supplemental operational support as needs arise
Assist with coverage when other team members are out of office
Additional Responsibilities
Support day-to-day HR Operations workflow and project coordination
Track tasks and follow up to ensure deadlines are met
Communicate status updates clearly to the Operations Manager
Assist with documentation of HR processes and procedures
Provide coverage and support during peak times or staffing gaps
Perform other duties as assigned to support team and business needs
Basic Qualifications (Required Skills & Experience)
Entry-level role – prior HR experience not required
Strong sense of accountability, punctuality, and reliability
Ability to work in a fast-paced environment with frequent changes
Comfortable working under pressure and managing multiple priorities
Energetic, positive, and willing to jump in where needed
Strong verbal and written communication skills
Detail-oriented with solid organizational skills
Tech-savvy with willingness to learn new systems and tools
Ability to work independently while contributing as a team player
