Project Assistant
Description We are looking for a detail-oriented Project Assistant to join our team in Tracy, California. This Contract-to-permanent position offers an excellent opportunity to support dynamic project management activities within a leading warehouse storage solutions company. In this role, you will collaborate with various departments to ensure seamless communication, efficient order handling, and timely project execution. Responsibilities: • Coordinate with the Project Management team to support ongoing projects and ensure deadlines are met. • Communicate effectively with customers, vendors, and internal departments to address inquiries and provide updates. • Prepare and process estimates, sales orders, purchase orders, and other project-related documentation. • Monitor project timelines and budgets, ensuring alignment with goals and deliverables. • Assist the transportation department in scheduling shipments and updating customers on delivery statuses. • Provide knowledgeable responses to questions regarding products, pricing, availability, and order statuses. • Collaborate with warehouse and fabrication teams to ensure proper handling and fulfillment of orders. • Match and approve invoices for payment while maintaining accurate records. • Manage permitting processes, including purchase orders and status tracking. • Perform various administrative duties such as organizing files, scanning documents, and maintaining a clean work environment. Requirements • High School Diploma required; an Associate degree is preferred. • Minimum of two years of experience in customer service. • Proficiency in QuickBooks Enterprise Desktop is preferred. • Strong communication and interpersonal skills with a commitment to excellent customer service. • Ability to multitask, prioritize, and maintain attention to detail in a fast-paced environment. • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. • Previous experience in the warehouse storage industry or material handling systems is a plus. • Self-motivated with excellent organizational skills and the ability to work independently or as part of a team.
