Project Assistant
Description We are looking for a highly organized and proactive Project Assistant to join our team in Corona, California. In this Contract-to-Permanent position, you will provide critical support to construction projects by managing documentation, coordinating with stakeholders, and ensuring smooth execution of administrative tasks. Responsibilities: • Prepare, review, and process contracts, subcontracts, purchase orders, and change orders to ensure accuracy and compliance. • Monitor contract deadlines, certificates of insurance, and lien waivers to maintain project timelines and requirements. • Organize and maintain digital and physical files for contracts and project documents, adhering to company standards. • Collaborate with project managers, legal teams, vendors, and subcontractors to address and resolve contract-related concerns. • Ensure all contractual terms, insurance policies, and bonding documentation are met and up-to-date. • Provide assistance during pre-construction and bidding phases, including preparing necessary documentation. • Support project startup by facilitating permits, licensing, and other required paperwork. • Handle administrative tasks such as scanning, organizing files, and shipping project-related documents. • Use Microsoft Office tools, including Excel, Outlook, PowerPoint, and Word, to manage timelines and track project progress. • Deliver exceptional customer service by addressing inquiries and maintaining clear and attentive communication with stakeholders. Requirements • Proven experience in data entry, document management, or administrative support roles. • Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word. • Strong organizational skills with the ability to manage multiple tasks and deadlines efficiently. • Excellent customer service skills and detail-oriented communication abilities. • Familiarity with tracking timelines and coordinating project activities. • Ability to handle tasks such as scanning, file organization, and shipping with attention to detail. • Knowledge of construction or infrastructure project workflows is a plus. • Self-motivated and capable of working independently as well as part of a team.
