Description
We are looking for a dedicated and detail-oriented Project Assistant/Executive Assistant to support an executive leader in a dynamic and high-energy environment. This long-term contract position is ideal for professionals with a strong background in administrative support, project coordination, and customer service. Based in Manteca, California, the role requires exceptional organizational skills, the ability to manage multiple priorities, and a proactive approach to ensuring the smooth execution of departmental tasks.
Responsibilities:
• Serve as the primary administrative and project coordination support for an executive leader and team, ensuring operational efficiency.
• Deliver outstanding customer service to internal and external stakeholders, maintaining professionalism and responsiveness.
• Accurately perform data entry tasks to support departmental goals and maintain organized records.
• Monitor and manage project timelines, milestones, and deliverables to ensure tasks are completed on schedule.
• Create, organize, and analyze reports using Microsoft Excel to track project progress and outcomes.
• Collaborate with team members to support departmental initiatives and contribute to a cohesive work environment.
• Represent the executive professionally in communications with clients, colleagues, and local government entities.
• Maintain structure and alignment across multiple tasks, ensuring attention to detail in all undertakings.
• Identify opportunities to streamline processes and optimize workflows for improved efficiency.
Requirements
• At least 2 years of experience as an Executive Administrative Assistant or Project Coordinator in a fast-paced setting.
• Excellent verbal and written communication skills with a strong background in relevant experience and a detail-oriented demeanor.
• Proficiency in Microsoft Excel, Outlook, Word, and PowerPoint.
• Strong ability to multitask, prioritize responsibilities, and independently manage tasks from initiation to completion.
• Meticulous attention to detail and exceptional organizational abilities.
• Familiarity with local government operations or public sector experience is preferred.
• Adaptable and collaborative mindset, thriving in dynamic work environments.
• Ability to handle sensitive information with discretion and professionalism.
