Project Administrator - Land Development

Job Description
We are seeking a detail-oriented and proactive Project Administrator to support the planning, execution, and closeout of various development projects. This role involves coordinating with internal teams, external stakeholders, and regulatory agencies to ensure timely and accurate project delivery. The ideal candidate will have strong organizational skills, excellent communication abilities, and a collaborative mindset.
Responsibilities:
Project Planning and Scheduling:
Assist in developing project plans, timelines, and schedules.
Monitor project milestones and deliverables.
Update project schedules using tools or similar software.
Fill out and submit Development/Permit forms to various local, state and federal agencies.
Corresponding with owners and developers to coordinate signatures and payments required for
permitting.
Assist in Proposal Writing and Submission:
Assist in preparing proposals for new projects, including gathering necessary technical
information and data.
Ensure proposals are complete, accurate, and submitted on time.
Collaborate with senior team members to prepare and tailor project proposals according to
client needs and specifications.
Communication and Coordination:
Ensure that all stakeholders are informed about project status, changes, and requirements.
Documentation and Reporting:
Maintain and organize project documentation, including contracts, permits, and reports.
Compile and distribute progress reports to the Project Manager and other stakeholders.
Project Management:
Track project schedules and milestones to assist in timely project deliverables
Track RAIs, create RAI letters, and coordinate internally with team
Resource Allocation:
Assist with coordinating the request of services required for projects with subconsultants.
Monitor inventory levels and submit supply order as needed.
Project Closeout:
Assist in preparing final project closeout documentation, including as-built certification
documents, and acceptance packages for local, state and federal agencies.
Facilitate project handover to clients, including providing necessary documentation from
agencies.
Ensure all regulatory and contractual obligations are met before project closure.
Archive all project documentation and update records for future reference.
General Office and Coordination:
Assists with other duties as assigned within designated
Often responsible for gathering detailed information or performing considerable research
Coordinates, schedules, and reserves conference rooms for training and meetings. Responsible
for setting up conference rooms with appropriate technology
Gather routine information from (or requests on behalf of) executives, professionals, team
members, and/or outside vendors and clients
Coordinate with internal and external staff to accomplish moderately complex activities
including scheduling, developing agendas, gathering materials, and ordering food and beverage
for the team
Ensure that all stakeholders are informed about project status, changes, and requirements

Skills and Requirements
-2-4 years of experience in project coordination, in civil engineering, land development and/or construction
-Proficiency in project management software and Microsoft Office Suite.
-Basic understanding of civil engineering principles and construction processes. -Proficiency in Bluebeam and Adobe, preferred.
-InDesign experience preferred null
