Overview
Our client is seeking a detail‑oriented Project Administrator to support project managers, field superintendents, and vendor partners across multiple construction projects. This role is central to maintaining accurate project documentation, coordinating submittals, managing billing and pay applications, and ensuring smooth communication across teams. The ideal candidate thrives in a fast‑paced environment, is highly organized, and enjoys supporting complex project workflows from start to finish.
Key ResponsibilitiesCollaborate with Project Managers, Field Superintendents, and vendor partners to support multiple projects and schedulesReview project scope for newly awarded work and participate in handoff meetingsRespond to vendor inquiries with professionalism and strong communicationUnderstand client requirements for revision control, close‑out documentation, change order processes, and progress reportingPrepare and track Sub‑Contracts, Purchase Orders, Change Orders, Monthly Applications, and Time & Material invoicingCoordinate and compile close‑out documents, including warranty letters and product informationResolve billing discrepancies in partnership with the Project ManagerParticipate in project management meetings as neededManage submittal processes and documentationSupport Field Superintendents with project‑specific needs such as scheduling or compliance requirementsRequired Skills & ExperienceProficiency in project administration, job costing, purchase orders, change orders, time and billing, invoicing, and project coordinationBasic accounting knowledge related to project financialsStrong proficiency in Microsoft Office (Excel, Word, PowerPoint)Excellent organizational skills with the ability to prioritize and manage multiple projectsAbility to work effectively under pressure and handle competing deadlinesStrong verbal and written communication skillsDetail‑oriented, proactive, and self‑motivatedPreferred QualificationsExperience in the construction industryFamiliarity with systems such as Vista Viewpoint, Dropbox, Bluebeam, Aconex, Procore, or other construction information‑exchange platformsResourceful, adaptable, and able to problem‑solve in a dynamic environmentProfessional demeanor and strong customer‑service mindsetWork Environment
This position is 100% on‑site, working in a professional office environment within a large, established organization of over 500 employees. Job Type & LocationThis is a Contract to Hire position based out of Kansas City, MO.
Pay and BenefitsThe pay range for this position is $24.00 - $29.00/hr.
