Project Administrator
Job Title: Project Administrator

Job Description

Support Project Managers in Germany and UK with administrative tasks throughout the lifecycle of labeling machinery projects. Prepare and maintain project files, contracts, technical documents, and manuals. Track project schedules, ensuring updates are communicated to internal teams and customers.

Responsibilities

Coordinate and schedule meetings, prepare agendas, and distribute meeting minutes/action items.Maintain accurate records in company systems (ERP/CRM/project tracking tools).Assist with purchase orders, invoicing, and expense tracking in collaboration with Finance.Communicate with customers regarding project updates, timelines, and required documentation.Coordinate shipping and logistics of machinery, parts, and supporting materials.Monitor project status reports, providing updates to management as needed.Ensure all project documentation is compliant with company and customer requirements.

Essential Skills

Associate’s or Bachelor’s degree in Business Administration, Office Management, or related field (or equivalent experience).2+ years of experience in an administrative or coordination role, preferably within machinery, manufacturing, or technical industries.Strong organizational skills with a high attention to detail.Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).Experience with ERP or CRM systems (SAP, NetSuite, Salesforce, etc.) preferred.Excellent written and verbal communication skills.Ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment.Customer service-oriented mindset.

Additional Skills & Qualifications

Experience interfacing with vendors and partners.Experience in data entry and administration.

Work Environment

The role requires working onsite in Fairfield five days a week, reporting directly to the CEO. The position involves collaborating closely with the sales group.

This is a Contract to Hire position based out of Fairfield, New Jersey.

Pay and Benefits

The pay range for this position is $24.00 - $29.00/hr.
