Job Description
We are seeking an organized and detail-oriented individual to fulfill the combined responsibilities of Office Manager and Project Administrator. In this role, you will play a crucial part in setting up our new site office and warehouse near Bethlehem, Pennsylvania. You will support daily office, site, and project operations, assisting employees with site and project-based administration and planning.
ResponsibilitiesAssistance with setting up our first US premises, office, and warehouse space near Bethlehem, Pennsylvania.Ensure the smooth and efficient operation of the office and warehouse.Manage office facilities such as power, internet, water, kitchen supplies, and project inventory on site.Coordinate office maintenance and repair services, liaising with vendors and ensuring a clean and safe working environment.Assist in scheduling meetings, organizing events, and travel for staff and management as required.Handle office correspondence, including phone calls, emails, and postal mail, directing them to the appropriate team member.Oversee the onboarding process for new employees and ensure accurate recordkeeping.Ensure office systems and procedures are optimized for efficiency.Assist in the reconciliation and collation of staff credit card statements, transactions, and receipts.Oversee the onboarding process for new clients and suppliers, ensuring accurate record-keeping.Support engineers in end-to-end project procurement activities.Organize all shipping and deliveries.Assist Engineers and Project Managers in the coordination and management of project-related activities, ensuring deadlines and priorities are met.Raise and manage Purchase Orders for projects.Maintain detailed project documentation and deliverables.Prepare project reports for internal and external stakeholders as requested.Organize project files, ensuring documentation is accessible and well-organized for all team members utilizing SharePoint.Provide administrative support to project teams, including scheduling meetings, preparing presentations, and handling correspondence.Essential Skills10+ years of experience supporting companies in office management and project administration.Strong organizational and multitasking abilities.Ability to learn new skills, processes, and software applications in a timely manner.Proficient in accounting software and Microsoft Office Suite (Excel, Word, Outlook, SharePoint, Teams).Confident communication skills, both written and verbal, to internal and external stakeholders.Detail-oriented with a high level of accuracy.Ability to work independently and collaboratively in a fast-paced environment.Strong problem-solving skills and the ability to manage multiple priorities at the same time.Additional Skills & QualificationsCertificate in Business Administration or a related field.Experience with project administration in the Construction Industry.Work Environment
This position is office-based, with flexibility for occasional remote work depending on company requirements. Initially, the role will be remote until the facility is operational in Bethlehem. Once the facility is open, the role will be onsite five days a week, from Monday to Friday, 8 AM to 5 PM. The office size will be small initially, and the candidate will play a key role in getting the office off the ground and assisting with hiring. The dress code is business casual. Pay and Benefits
The pay range for this position is $75000.00 - $95000.00/yr.
