Job Title: Project Accounting Coordinator

Job Description

The Project Accounting Coordinator plays a crucial role in supporting compliance with California prevailing wage and CalTrans requirements. This position involves coordinating with Project Managers and internal teams to ensure accurate and timely submission of labor-related documentation, preparing fee proposals and contracts, and ensuring projects adhere to contract requirements. The role also includes developing WBS structures, assisting with project accounting workflows, and monitoring project financials.

Responsibilities

Support compliance with California prevailing wage and CalTrans requirements, including correct wage classifications, certified payroll review, and contract compliance.Coordinate with Project Managers and internal teams on CalTrans- and labor-related documentation.Prepare fee proposals, draft contracts, and subcontracts for review.Ensure projects follow contract requirements and track amendments.Develop WBS structures and Project Authorization forms, including budgets and invoicing requirements.Assist with processing subconsultant invoices and support project accounting workflows.Monitor project financials, including variance, revenue, budgets, and WIP, and follow up on revenue issues.Serve as a liaison between internal teams, suppliers, and clients.Conduct pre-bill reviews and participate in monthly project review meetings.Support Business Operations with budget performance analysis and recommendations for improved financial outcomes.

Essential Skills

Experience with prevailing wage.Invoicing and subcontract review.Template proposal preparation.Change order management.Creating pivot tables and Vlookups in Excel.Proficiency in Deltek, BST, or Oracle.

Qualifications

3+ years of California prevailing wage experience.3+ years of CalTrans experience.3+ years of experience drafting contracts and subcontracts.3+ years of experience preparing proposal templates.3+ years of change orders experience.Experience working for an engineering or architectural firm with revenue over $150 million.Proficiency in other ERPs such as Vantagepoint.

This is a Contract to Hire position based out of Los Angeles, CA.

Pay and Benefits

The pay range for this position is $40.00 - $55.00/hr.
