Job Title: Project Accounting Assistant
The Project Accounting Assistant provides essential financial and administrative support to project managers and project accountants, with a primary focus on project billing, cost review, and invoice generation. This role supports the financial health of project-based work by ensuring costs are accurate, billable activities comply with contract terms, and invoices are produced in a timely and correct manner. Operating in a project-based accounting environment common to engineering and professional services firms, this position offers a collaborative, project-driven setting and serves as a strong foundation for career growth into roles such as Project Accountant or Senior Billing Specialist.
Responsibilities
Review project costs, labor, and expenses for accuracy and compliance with contract terms prior to billing.Generate and prepare client invoices, including fixed fee, time and materials, and reimbursable billing formats.Support monthly and cyclical billing processes to ensure timely and accurate invoice delivery.Collaborate with project managers to clarify billable versus non-billable costs and resolve billing questions.Assist project accountants in maintaining accurate and up-to-date project financial records.Support project budgeting activities and contribute to financial status reporting for active projects.Maintain billing documentation and invoice support schedules in an organized and accessible manner.Assist with project close-out activities, including final billing and reconciliation of project financials.Essential Skills
At least 2 years of billing or invoicing experience.High school diploma or equivalent.Exposure to or experience in engineering, architecture, or construction environments.Familiarity with project accounting and cost analysis in an AEC (architecture, engineering, construction) context.Hands-on experience with invoicing, project billing, and invoice processing.Basic understanding of accounting principles, including cost accounting and accounts payable.Proficiency with Microsoft Excel at an intermediate level.Strong attention to detail with the ability to review costs and financial data for accuracy and compliance.Ability to manage multiple priorities and deadlines in a project-driven environment.Effective verbal and written communication skills.Comfort working with cross-functional teams, including project managers and project accountants.Job Type & LocationThis is a Contract to Hire position based out of Dallas, TX.
Pay and BenefitsThe pay range for this position is $25.00 - $34.00/hr.
