PROGRAM/PROJECT ADMINISTRATOR, Aeronautics and Astronautics, will be responsible for program support (25%) including attending two annual Space Grant Directors meetings (Washington, DC and a rotating U.S. site), building feedback systems and success metrics, compiling and analyzing data to evaluate MASGC outcomes, developing improvements, recruiting, supporting, and mentoring students in NASA-related space and aviation areas, and handling confidential matters with discretion; relationship management (10%) spans representing MASGC with 18 statewide affiliates, providing accurate updates on the national Space Grant program, attending Space Grant HQ briefings, liaising with other states, visiting the Massachusetts Congressional delegation annually with the Director; and maintaining timely, professional vendor communications; financial duties (30%) cover budgeting, accounting, and reporting, preparing, tracking, reconciling, and projecting account budgets, maintaining financial records, processing requisitions, invoices, reimbursements, and approved expenditures, and managing purchasing and inventory within guidelines; fundraising (10%) including supporting proposal preparation/submission and coordinating affiliate cost-share data; and administrative and technical work (25%) including producing progress reports, evaluations, proposals, newsletters, and presentations, managing website content, creating and maintaining databases (e.g., Excel), organizing the annual affiliate meeting (venue, catering, materials), advertising/reviewing fellowships and internships and ensuring student payments, preparing meeting materials, maintaining filing systems and records, updating procedures, submitting NASA and semiannual reports and longitudinally tracking supported students while collaborating closely with financial and academic staff.
Job Requirements
REQUIRED: Bachelor’s degree in business or related field or STEM; a minimum of three years of administrative experience; strong computer literacy; excellent organization, communication, independent prioritization, meticulous attention to detail, discretion with confidential information; commitment to diversity and inclusive work; problem-solving orientation; interest in education, space science/engineering a plus; and willingness to travel. PREFERRED: Proficiency with Word, Excel, PowerPoint, web-based tools.
