Position Summary:


We have an exciting opportunity to join our team as a Program Manager. In this role, the successful candidate is responsible for the management and direct oversight of all operational and administrative practices with primary oversight of the fellowship, residency and student programs, including compliance, accreditation -related requirements, and daily operational workflows. In addition, the position supports select high-level administrative initiatives and projects under the direction of the Director of PCC Administration, this will include all compliance related issues, daily operations and related workflow projects to enhance programs. This role provides direct supervision of the Fellowship Coordinator and Administrative Coordinator.

Job Responsibilities:

Plans, organizes and monitors departmental and fellowship-related activities as established with the supervisory staff using defined goals, timelines, and performance expectations. Provides guidance and leadership regarding fellowship, residency, and student program compliance, accreditation requirements, and operational standards. Provides coaching and mentorship to administrative staff, fostering professional development, succession planning, and operational continuity. Responsible directly for all Performance Appraisals of staff and conducting regular check-ins to assess progress against established objectives. Works with leadership to ensure that scheduled workloads and assignments align with staff capabilities, program needs and institutional priorities. Supports the management of administrative practices for the Department. Provides operational support for faculty onboarding and credentialing processes, including coordination with Faculty Affairs, Medical Staff Services, and GME, to ensure timely and accurate completion. Ensure assignments are understood and appropriate follow up with management occurs to ensure desired outcomes are reached. Supervises staff including providing ongoing feedback and guidance as well as timely completion of written performance appraisals. Assist in the hiring of appropriate personnel for positions.Orients and trains all staff related to the departmental and fellowship-related operations, workflows, and role-specific responsibilities. Responsible for completing orientation and training of all new staff. Monitors staff performance. Ensure all staff are trained and updated in all aspects of their positions. Ensure staff are compliant with regulatory changes and existing rules. Implement any new Policies and Procedures related to compliance changes or organizational changes to support smooth operations with the management team. Assures compliance with the regulatory mandates of the Joint Commission of Accreditation of Hospitals, New York State Department of Health, CARF, New York City Department of Health, and rules and regulations of the Medical Staff. Establishes systems to communicate any policy or procedural change to all departmental staff and other Medical Center personnel, as required. Utilizes audit results, quality assurance reports and incident reports to improve the quality of service provided. In conjunction with the Director developing and approving new policies and procedures to improve the effectiveness of the Departmental services.Budget and Cost Containment Supports budget and cost containment efforts by seeking the most effective and efficient approaches to performing assigned functions. Provides operational oversight and assistance with departmental purchasing and expense processes, including P-Card use and reconciliation, in accordance with institutional policies. Establishes systems and monitoring to ensure accurate and timely charged entries. Establishes a review/audit system for this process to ensure consistency. Assists in the preparation of the budgets when requested by the Director. Monitors departments operating performance to maintain spending within budgeted resources. Compares actual spending to monthly budgeted amount and explains variances adequately and develops plans of correction.Regulatory Compliance/Quality Assurance Supports departmental compliance by serving as a liaison with internal and external stakeholders on regulatory and quality matters. Adequately prepares for periodic inspection by regulatory agencies. Contributes to the design, implementation, and periodic refinement of departmental quality assurance program. Supports education and training initiatives for management and staff related to compliance updates.Operational & Faculty Support Provides operational support for faculty and trainee onboarding processes, including credentialing coordination, access requests, purchasing support (e.g., P-Card assistance), and administrative guidance. Serves as a resource to administrative staff by offering mentorship, troubleshooting operational issues, and escalating matters appropriately to leadership.Reports/Documentation - Maintains records and prepares reports required by the department.Program Development Collaborates with management staff to plan, develop and implement new procedures for respective units with management staff. Schedules and conduct regular meetings with key personnel of departments to promote the most effective services. Addresses all contingencies in a plan. Uses verifiable data as a basis for planning. Proposes and implements programs for the generation of new revenue. Oversees all activity programs to ensure compliance with departmental policies. Effectively identify plans and future needs (i.e.: staffing, resources, etc.) and problem areas of the unit, assisting in the development of workable solutions and follows through with their implementation.Performs other duties as assigned in support of division and institutional objectives. 

Minimum Qualifications:


To qualify you must have a Bachelors degree in a related field. Minimum of five to seven years of experience in a hospital setting, including a minimum of two years of supervisory or administrative experience. Strong background in clinical program operations and program development. Excellent interpersonal and communication skills are essential.

Preferred Qualifications:


Masters Degree in a related field. Experience with Undergraduate and Graduate Medical Education.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $84,577.93 - $108,163.24 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
