Job Summary
Provide administrative support to ensure the efficient operation of the Lynchburg/Charlotte Unit. Responsibilities include managing correspondence, onboarding and new hire paperwork, rehiring/reactivations, pre-payroll activity, client guidelines, invoicing, employee updates, and travel arrangements.
Key Responsibilities
Onboarding & New Hire Paperwork
+ Manage the full onboarding process for new employees in Bullhorn.
+ Prepare and distribute paperwork (contracts, tax forms, direct deposit, benefits enrollment).
+ Collect, review, and verify documentation for accuracy and compliance.
+ Assist employees with required forms and answer policy/procedure questions.
+ Coordinate background checks (First Advantage) and drug screen scheduling.
+ Coordinate Client scheduled appointments.
+ Introduce new employees to company policies, procedures, and culture.
+ Serve as primary point of contact for new hires, ensuring a smooth transition.
+ Partner with HR and hiring managers to align onboarding with business needs.
Rehires & Employee Reactivations
+ Facilitate the rehiring process for previous employees.
+ Verify eligibility for rehire and collect updated documentation (I-9, tax forms, compliance).
+ Reactivate employee profiles in Bullhorn; confirm records are accurate and current.
+ Ensure payroll setup, system access, and benefits eligibility are re-established.
+ Communicate with returning employees to support a smooth transition back.
Pre-Payroll & Payroll Administration
+ Confirm all new hire, rehire, and reactivation paperwork is complete before payroll.
+ Review and verify employee timekeeping and hours for accuracy.
+ Process weekly payroll in compliance with client guidelines and policies.
+ Prepare and distribute payroll reports.
+ Reconcile discrepancies and resolve payroll-related issues.
+ Address inquiries regarding compensation, benefits, and timekeeping.
Other Administrative Duties
+ Coordinate travel arrangements (through travel agent).
+ Communicate with contractors (email, calls, texts).
+ Support invoicing, client guideline compliance, and employee record updates.
Requirements
+ Full-time, 40+ hours per week, with flexibility for evening or weekend work when required.
+ Strong communication and interpersonal skills.
+ Highly organized with excellent attention to detail.
+ Ability to multi-task and prioritize in a fast-paced environment.
+ Skilled at following detailed manuals and instructions.
+ Proficient in Microsoft Office, Adobe, and Google Docs.
+ Team player with the ability to work independently.
+ Ability to train virtually and work fully remote (reliable internet required).
