Program Coordinator (On-site)
Insight Global
Job Description
In this role, you’ll manage the end‑to‑end SOW and contract workflow for incubation and sustainability programs while also serving as onsite program management support in Reno, Nevada, acting as a critical liaison between vendors, site teams, governance partners, and remote stakeholders. The level of onsite presence will flex based on operational tempo and program needs, but this role is expected to regularly support on‑the‑ground execution.
Your day‑to‑day includes triaging and managing intake requests, gathering requirements, coordinating SOW drafts, tracking redlines, and ensuring completed documents pass cleanly through legal, procurement, and finance approvals. You’ll update and maintain program trackers, revise program documentation, and produce reports that provide visibility into schedule health, budget status, deliverables, and performance.
As the onsite point of contact, you will work closely with vendors and site teams to monitor progress, surface risks, validate execution against plans, and relay real‑time insights back to program leadership. You’ll act as the “eyes and ears on the ground,” proactively identifying issues, dependencies, or changes that could impact delivery and ensuring they are escalated and addressed quickly.
In partnership with technical experts and program managers, you’ll facilitate cross‑functional meetings, capture detailed action items, and align stakeholders and vendors to drive initiatives forward. You will create agendas and timelines, support vendor onboarding, oversee purchase orders and contracts, and anticipate stakeholder needs before issues surface.
Additional responsibilities include maintaining sustainability and Net Zero program schedules, cascading updates such as LCA data, creating presentations to communicate program roadmaps and outcomes, and supporting weekly updates, monthly newsletters, and broader program documentation. You’ll also coordinate logistics for site visits, summits, and sustainability‑focused workshops, ensuring all operational, contracting, and communication details are tightly managed from start to finish.
